How To Create A Credit Note

Learn how to create a credit note for a supplier or contractor bill in JACK, approve it, and sync it to QuickBooks to keep job budgets accurate.

Overview

Credit notes reduce the amount owed to a supplier or contractor, for example when a supplier issues a credit for returned materials or an over-billed amount. Create them from Finance > Bills or from within a job at Jobs > Job Financials > Bills, using the standard bill workflow.

Creating a Credit Note

  1. Navigate to Finance > Bills and click or go to Jobs > select Job > Job Financials > Bills and click .

  2. Fill in the bill details: Choose Job or Not Job Related, Supplier/Contractor, Reference, Invoice Date, Due Date, QuickBooks Account, as you would with a standard Bill.

  3. Under Edit Line Items, add a line item and enter either the Qty or Unit price as a negative quantity. This creates a negative amount for the credit.

  4. Link the Credit Note to the associated Job's Costings. Choose

  5. Tap the plus icon next to the line item and use the Link Budget Item menu on the right to link which cost item this is associated with.

  6. Click Save and Close.

Approving and Syncing

Choose the Approve button (directly, or Needs Approval depending on your approval process). Once approved, it appears in the pending items to sync with QuickBooks. Choose in the top right. Then in the pop out menu.

Where Credit Notes Appear

Once reconciled in QuickBooks, the credit note shows up in two places:

  • Finance > Bills, under the Credit Notes tab, with the negative amount, supplier, reference, and linked job.

  • The job itself, in Job Financials > Bills, with a Credit Note status and negative amount.
