Send Email to Client, Request Information From Client, Client Portal

One of the great features inside of Jetpack Workflow is that you can assign a task to a client and they can complete it! A common use here is to help you and your team with gathering documents. Here's the instructions on how to use this feature and collaborate with your clients!

1. First, click on the job name in your Jobs tab to go into the job's profile

2. Scroll down to the task list and click on the task name to edit

3. In the Assignee field, select Assigned to Client

::Note:: In order for this to work, make sure you have the client's email address on file because the system will be sending an email notification to your client if you assign him/her a task. The system will not allow you to assign the task to the client if there is no email address on file.

4. If there are any additional information or instructions you would like send to the client, enter that information into the description area (box that says 'formatting help'). We recommend this because when you assign a task to the client, you might want to add instructions or lists for them.

5. When you're ready to send the task to the client for completion, save your changes and then open the task options menu. Select email client to send the task to the client.

The email notification your client will receive from you via Jetpack will be in a generic format so customization of any kind of notes (e.g. instructions, introduction of you or your firm, information, etc) will have to be done inside the task description box before you send your client the email notification

Pro tip: You can add subtasks and your client will view them as bullet points when they receive the task assignment notification in his/her inbox

::Note:: If you have document(s) attached to the task, the system currently doesn't send those attachments along with the email notification. We recommend uploading the documents into a cloud storage system or a file sharing system, such as Google Drive, Dropbox, SmartVault, ShareFile, etc. From there, you can generate a shareable link from any of those apps online, then copy and paste the link into the task description. The shareable link listed in the task description can be viewed by the client in the email notification you send out.ย 

6. A pop-up message will appear asking you to confirm that you want to send an email notification to let the client know that you have assigned him/her a task

8. Hit Send to client

9. After sending the email notification to your client, refresh your browser

10. The system will keep a log of when the task email notification was sent to the client and who sent it when you look under the Leave a note section on the right-hand side of the screen inside the job's profile

::Note: Feel free to test this feature out by assigning a task to your firm and making sure there is an email address on file. Your firm is by default a client inside Jetpack when you sign up for an account for Admin and testing purposes.
