How do I set up an automation that emails or texts my donors?

TL;DR: An automation sends your donors an email or SMS by itself, at the right moment — without you having to remember. For example: an automatic thank-you to every new donor, or a birthday greeting.

What is an automation?

A simple rule: when something happens, a message goes out. You set it up once and the system works in the background.

How do I create an automation?

  1. Go to the Charity AreaCRMAutomations.

  2. Click New automation and choose who it's for: donors, ambassadors or contacts.

  3. Choose when it runs — for example "first donation", "birthday" or "donor who hasn't given this year".

  4. Add conditions if needed (for example only donations above ₪500) and a delay (for example two days later).

  5. Choose what gets sent: an email, an SMS, or a task for your team.

  6. Set how often the same person receives it: once, weekly, monthly or every time.

  7. Click Activate — the system shows you the audience size before you confirm.

Good to know

  1. Messages consume your CRM email and SMS balance. If the balance runs out, messages wait and go out after a top-up.

  2. No sending at night. Anything scheduled earlier goes out at 09:00.

  3. You can pause an automation at any time — waiting messages are not deleted.

  4. If a contact is missing a detail the message uses (a first name, for example), the message isn't sent to them, so no half-filled message goes out.

  5. Before activating you can send yourself a test message.

FAQ

I don't see the Automations menu — the feature is enabled for your charity by JGive. Contact support and we'll be happy to enable it.

Can I also send to people who donated in the past? Yes. When activating, you can choose to run the automation on existing contacts who match the condition.
