Set up your Practice Handout Library
Create handouts that your team can send to clients after their visit.
Select the ⚙️ Gear icon.
Navigate to Handouts → New Handout.
Add a title and a description for quick reference.
Click Save changes.
Create the body of the handout by uploading a PDF or by inputting text.
Add one or more Trigger(s) so ScribbleVet knows when to recommend this handout (see specifics below).
Changes are automatically saved
Once saved, the handout becomes available to send after appointments.
Note: Handout content is not inserted into the generated SOAP note. Instead, it appears as a recommended document that can be sent to the client. |
Add trigger phrases to a handout
Trigger phrases tell ScribbleVet when a handout should be recommended after a visit.
When creating a new trigger, you'll enter a Trigger phrase (for example, "a bland diet") and choose when the AI should look for that phrase.
You can select one or both of the following trigger types:
Assessment & Counseling
Choose this option when the veterinarian:
Recommends
Discusses
Diagnoses
Schedules
Suggests
Advises
Explains
Mentions
Identifies
Books
Plans
Example: If the veterinarian recommends feeding a bland diet during an appointment, ScribbleVet will recommend the associated handout with the following trigger phrase and type:
Trigger phrase: a bland diet
Trigger type: Assessment & Counseling
Treatments & Procedures
Choose this option when the following actions have been completed:
Administers
Vaccinates
Injects
Applies
Conducts
Takes samples
Runs tests
Use this option when the handout should be recommended only after a specific procedure or treatment occurs.
Add triggers to an existing handout
You can add additional trigger phrases at any time.
Navigate to ⚙️ Settings → Handouts.
Select the handout you want to edit.
Scroll to the New Trigger section.
Enter a new Trigger phrase.
Choose the appropriate trigger type.
Click Add trigger.
You can create multiple trigger phrases for the same handout to improve when ScribbleVet recommends it.
Send handouts to clients
When ScribbleVet detects one of your configured trigger phrases during an appointment, the corresponding handout will appear as a recommended document alongside the generated note.
Before sending:
Review the recommended handout.
Confirm it's appropriate for the visit.
Send it to the client along with the visit documentation.
You remain in control of which handouts are shared with clients.

Tips for creating effective triggers
Use specific phrases that veterinarians naturally say during appointments.
Create multiple trigger phrases for the same handout when there are common variations (for example, bland diet, feed chicken and rice, or GI diet).
Choose Assessment & Counseling for recommendations and discussions.
Choose Treatments & Procedures for actions the veterinarian performs.
Frequently asked questions
Does the handout become part of the SOAP note?
No. Handouts are recommended separately and do not appear in the generated note.
What types of handouts can I create?
You can upload a PDF or create a handout using rich text.
Can a single handout include multiple trigger phrases?
Yes. A single handout can have multiple trigger phrases, so it can be recommended in different clinical conversations.
