The mentioning and hashtag system in Kickscale makes collaboration easier by allowing users to tag colleagues directly in meeting notes and categorize content using hashtags. Here's how these features work and how to use them effectively.

How to Create Meeting Notes with Mentions

  1. Open a Meeting: Navigate to the meeting in your workspace.

  2. Add a Note: Go to the desired moment in the meeting and click "Add Note."
    (Tip: Every note is automatically linked to a timestamp in the meeting video.)

  3. Tag a Colleague:

    • Type "@" followed by your colleague’s name.

    • Select the desired person from the list.
      (Example: @Gerald Zankl Please take a closer look at this.)

  4. Rate the Note (optional): Choose whether the note is positive, neutral, or negative.

  5. Save: Click "Add" to save the note.

What Happens When Someone is Tagged?

  • Access to the Meeting: Tagged individuals automatically gain access to the meeting as long as the note exists.

  • Notifications:

    • An in-app notification informs the tagged user.

    • Clicking the notification takes them directly to the timestamp in the video.

    • The note is visually highlighted.


How to Use Hashtags in Notes

Hashtags help categorize information and identify trends across meetings.

How to Add Hashtags:

  1. Write a Note: Create a note as usual.

  2. Add a Hashtag: Type "#" followed by a keyword (e.g., #FeatureRequest or #Interesting).

  3. Save: The note is saved with the hashtag, which is automatically highlighted.

How to Use Hashtags Effectively:

  • Dashboard View: Under the "Hashtags" tab in the dashboard, you can view all meetings that contain a specific hashtag.

    • Example: Find out how often a feature request has been mentioned to identify important trends.

  • Search and Filter: Use hashtags to quickly locate relevant meetings and notes.


Using Mentions and Hashtags in the Chrome Extension

The mentions and hashtags features are fully supported in the Kickscale Chrome Extension:

  • Notes added via the extension are fully integrated with the system.

  • Tagged colleagues receive the same notifications (in-app and via email).

Troubleshooting

Why Can’t I See Meetings Where I Was Tagged?

  • Check if the note still exists. Access to the meeting is revoked if the note is deleted.

  • Ensure that notifications are enabled in your profile settings.

Why Doesn’t My Hashtag Appear in the Dashboard?

  • Make sure the hashtag was written correctly (no spaces or special characters).

  • Confirm that the meeting and note were saved properly.
