From the Admin Dashboard, click on Early Years and select Observations

Click New Observation

Add a Child

Select one or multiple children, by either clicking Add Children or typing in their names.

Once the children have been added, click Show Only Selected Children

Note: Selecting multiple children gives you the option to enter the information once. When you click Save, the observation splits into individual observations, one for each child. You can now update each individual observation to include different learning outcomes.

About the Observation

Fill in details as below;
Title - the title of the observation, is visible in the Observation Gallery
Date - the current date, can be changed if required
Time - the current time, can be changed if required
Observation - a short description on why the observation was made

Adding Kinderly content (if relevant)

Select the relevant item from the dropdown.

Each item you select, is added to the Observation box.

To check the links, click Preview and click the link, this will open in a new window. To carry on with the observation, always change back to Edit.

Add Media

Upload a photo and/or video if you wish.

Note: if you are on a laptop, this will open your folders. If you are using a mobile device, you will have the option to select from the device's gallery or take a photo/video on the spot.

Link areas of development

Click Link areas (previously known as Milestones) to access the EYFS framework.

Try different views by changing Aspect to All to Age, to find the one that suits you.

This is the Aspect view, which displays the 7 development matters on the left of the screen and the areas of development by age or range on the right of the screen. Both sides can be scrolled individually.

Find the areas of development relevant to your observation and select applicable level of support. In this case I have selected Good progress.

Any areas of development previously observed will be displayed in a lighter shade.

You can also select areas of development as Support Ideas at the same time.

Once you have selected all the relevant areas of developement, click Finish at the bottom of the screen.

You will return to the front page of the observation, where you can either;

Save - finish for now and complete later, or
Save & Authorise - to complete and update the EYFS table and the Parent Portal.

Note: Unticking the above, stops the observation email being sent to the parents. However, the observation will still upload to the Parent Portal.

What the Parent sees

This is how the observation is displayed in the Parent Portal.

Upon clicking the observation, the parent can post a comment for the setting to see.

When the parent clicks Post, a notification appears on your Admin Dashboard, so you can see what they wrote and post a comment back, if you wish.

Note: Clicking Clear or Clear All will only clear the notification from that screen, not the actual comment on the observation.

What next?

Check how the observation updates the child's progress on the EYFS table by going to their profile page.
