Creating a Digital / eSignature Document

You can make any document fillable right from People by Wagepoint easily. We recommend using this type of document whenever possible to create a smooth and seamless process for new hires and employees. 

After your documents have been uploaded (find out how here), choose the Digital option to begin creating your form. You can upload any file type and convert it to a fillable form right within People by Wagepoint. Please note, PDFs and Word documents look the best, but you can upload any file type listed here: .jpg, .jpeg, .png, .docx, .doc, .xls, .xlsx, .zip, .pdf.

Next, choose who will sign the document. Either just the employee, or the employee and the HR Manager can fill out a document on Kin. 

Only the employee signs
As the HR Manager, you will have the opportunity to pre-fill fields when you create the document, however only the employee will be able to enter information once the document is created and shared. Once the employee completes the document, their HR Manager will be notified it is ready, and they will approve the document.

Employee and their HR manager both sign
The employee fills in their fields first, then the HR Manager. Once the employee’s portion is finished, their HR Manager will receive a notification and will be able to complete their portion. Once both parties have completed their fields, the document will be available for download in the employee’s file section.

Note that you have the option to enter data into the form at the time it is created even if the "only employee signs" option is chosen.

Then, use the document creator to drag and drop fields into your form. You can add signature, initials, textbox, checkbox, and sign dates.

Your fields can be customized several ways by using the sidebar.

Document formatting tips and tricks

  • When entering a date other than a sign date (birthday, etc), use a text field. Then, change the placeholder text to reflect the format of the date you’d like.

 

  • Format your fields with your desired font type and size.

  • Use the blue switch to make a field required, or not. 

If you have a large section with the same field type, size, and formatting, you can copy and paste one or an entire section of fields. 

  • Highlight the fields you wish to copy

  • Use the copy icon at the top of the toolbar, or your keyboard shortcuts to copy the fields

  • Paste the fields using the icon at the top of the toolbar, or your keyboard shortcuts

  • Move the fields to their desired position

A sign date will automatically put the date the form is signed into the field. For other dates, please use a textbox.

Once your form is completed, click continue to digitize your form. 

Finally, choose the employees you'd like to share the form with (optional-- you can just add a form and share it later) a due date (also optional), and click Add File. This may take a few moments as your document formats.
