Your voice, previously called Custom Rules, controls how Klarify writes a note: tone, length, sentence style, terminology, and how the client is referenced. A template controls which sections and information belong in the note. You use a template and a voice together.
Open Your voice
Open Templates.
Select the Your voice tab.
Your own voices appear first. Voices shared by other members of your current clinic appear under Shared with your clinic and are read-only.
Klarify includes built-in voices, Brief, Detailed, and Very Detailed. Detailed is the default. Open one with the pencil icon to see how it is written, and use it as a starting point for your own.
Create a voice manually
Select New voice.
Give it a clear name.
Add one specific writing rule at a time.
Optionally make it visible to members of your clinic.
Save it.
Useful rules include:
“Keep the whole note under 300 words.”
“Use active voice and person-first language.”
“Use paragraphs for the summary and bullets for the plan.”
“Avoid pathologizing language.”
“Refer to the person by name when available.”
Clear, testable rules are more consistent than broad instructions such as “write better” or “make it professional.”
Generate a voice from examples with Klara
On Templates → Your voice, select Generate with Klara.
Paste representative writing or upload supported example files.
Let Klara analyze the examples.
Review the proposed name and every rule.
Edit or remove anything that should not apply to future notes.
Save the voice.
Only use examples you are authorized to process. Remove unnecessary identifying details before uploading.
Edit, delete, or restore
Select the pencil icon to edit one of your voices.
Select the delete icon to remove a voice that is not your current default.
Select Restore Klarify voices to restore missing or changed built-in Klarify voices. Your separate custom voices remain available.
You cannot delete the voice that is currently set as your default. Choose another default first.
Set a default
Choose a personal default under Settings → General. You may also select a default voice for an individual client.
An authorized clinic administrator can choose Team default rules under Settings → Clinic:
Clinic default: everyone starts with the selected rules but can switch.
Clinic enforced: the selected default is locked while you belong to that clinic.
You can still create additional notes in either mode.
Share a voice with your clinic
When creating or editing your voice, turn on Make this voice visible to clinic members and save. Other members can use it and can inspect its rules, but they cannot edit your shared source.
Clinic administrators can choose a shared voice as the team default or enforced voice.
Improve inconsistent results
Use fewer rules that do not contradict one another.
Put measurable limits on length or list size.
Pair the voice with the correct template.
Test it with different sessions.
Review every generated note; a voice guides the output but does not guarantee identical wording.
