Explain the workflow before recording
Use language the client can understand and explain:
What Klarify will record or receive.
Why you want to use it.
How a transcript, note, Mindmap, or other output may be created.
Who in the clinic may be able to access the resulting record.
How long the relevant data is retained.
How the client can ask questions or withdraw consent.
What alternative is available if the client does not consent.
Obtain and document consent using the process required by your practice.
When you need consent
You need your client's consent to record a live session, virtual or in person. That is your client's voice, so they need to agree. The consent form template covers this.
Dictating a summary after the session and using Klara are your own note-writing, the same work you already do. They do not need a separate consent step. Your practice's usual privacy notice is the right place to tell clients you use a secure tool for your documentation.

Audio is retained for at most 14 days and can be deleted sooner.
Session audio playback is off by default.
Permanently deleted data cannot be recovered.
