At Koru Kids, we understand the importance of accurate hour tracking for your nanny's payroll. Our system is designed to make this process transparent and straightforward for both families and nannies.
How hours are reported
Your nanny records their working hours on their timesheet. The timesheet can be found through their account or on the Koru Kids app. They need to log the start and end time of each shift. Nannies are sent reminders to do this before the 25th of each month.
Reviewing your nanny's hours
You'll be notified of your nanny's reported hours in two ways:
Email Notification: A detailed summary of the week's hours will be sent to your registered email address
App Notification: You'll receive an alert in the Koru Kids app when new hours are submitted for your review
If you agree with the shift submitted you can simply approve it through the app.
What to do if the hours are incorrect
If you notice any discrepancies in the reported hours, our app provides an easy way to dispute and correct them:
Open the app: Click on your nanny's shifts
Check each shift: Check the start and end time for each shift to ensure they are accurate, if accurate you can click on Approve shift. For any incorrect entries, tap the "reject shift" button next to that specific shift
Enter correct information: You will be asked to explain why you have rejected the shift
Submit the rejected shift: Once you've made the corrections, we will send the comments to your nanny so they can update the shift
Communication
While our dispute system handles the formal correction process, we recommend:
Communication: Have an open conversation with your nanny about any discrepancies
Regular check-ins: Establish a routine to briefly confirm hours at the end of each shift
Clear expectations: Discuss your preferences for tracking additional time (e.g., if you're running late)
Preventing future discrepancies
To minimise hour disputes:
Encourage your nanny to use the App: Ask your nanny to consistently use the clock in/out feature
Set clear boundaries: Be specific about start and end times for shifts
Document changes: If the schedule changes during a shift, make note of it immediately
Regular reviews: Check the app regularly for submitted hours rather than waiting for the weekly summary
