How to Automatically Forward 3rd Party Leads to btPRO via Lead Dropbox

Generating new leads outside of btPRO and want to auto-import them to your Smart CRM? Follow the steps below to achieve this with your Lead Dropbox email address.

How Lead Dropbox Email Forwarding Works

When you receive a new lead from a 3rd party lead source, you typically receive an email alert with their contact details. The Lead Dropbox email address is a great tool to use to set up automatic forwarding, so you can 'drop' new leads into your btPRO Smart CRM.

When the Lead Dropbox address receives a new email, btPRO "reads" it (via email parsing), copies the information, and creates a new lead record - eliminating the need to manually add it.

How to Locate Your Lead Dropbox Email Address

  1. Login to btPRO.

  2. Click on 'Lead Engine'.

  3. Select 'Lead Dropbox' on the right-hand side of the page.

  4. Select and copy the appropriate Email Key, depending on how you want your leads to be owned and assigned in btPRO. For example, if you want all leads to be owned by and assigned to yourself in the Smart CRM, select the 'Agent' Email key.

    1. NOTE: If you are an Admin, you will have access to all entity keys and Dropbox email addresses along with your personal Agent keys. Please be careful which email you copy as it will determine ownership in the Smart CRM.

Adding a Forwarding Email Address

  1. Copy your Lead Dropbox Email address from btPRO.

  2. Open your Gmail account.

  3. Click the gear icon on the top right of the page, and click 'See all settings'.

  4. Click on Forwarding and POP/IMAP near the top.

  5. Then, select 'Add a forwarding address'.

  6. Paste your Lead Dropbox Email as a new forwarding address, and click 'Next'.

  7. A small window will open to confirm the forwarding address. Click 'Proceed'.

  8. A verification email will be sent to your Gmail inbox. Copy the verification code and paste it into the 'Forwarding and POP/IMPA' section and click 'Verify'.

Your forwarding address has been created!

Creating an Email Filter & Forwarding Rule

Google requires a filter in order to create an email forwarding rule. This is so that you can select specific emails to forward to btPRO.

  1. Open your Gmail account.

  2. Click the gear icon on the top right of the page, and click 'See all settings'.

  3. Click the 'Filters and Blocked Addresses' tab.

  4. At the bottom select 'Create a new filter'.

  5. Add the email address that your 3rd Party lead alerts are sent from.

  6. Click 'Create Filter'

  7. A pop-up will display prompting you to add an action when a new email matching your filter arrives. Select the 'Forward it to:' option.

  8. Select your Lead Dropbox email address from the dropdown.

  9. Click 'Create Filter'.

Your filter and forwarding rule has been created and new leads from your selected 3rd party source will now automatically be added to btPRO!

  1. Apply a label: Gmail can automatically label your emails as desired. This helps you more easily stay on top of your emails and keep your inbox from overflowing.

  2. Never send it to Spam: This way it always gets to your inbox

NOTE: DO NOT set up email forwarding for Zillow, Trulia, and Realtor.com leads!
