Learn how to change between different versions of your master schedule in Lean PlanDo

Simple changes in your master schedule, be it base dates, expected dates, dependencies or addition of new activities, you can do so directly from Masterplan tab in Lean PlanDo.

However, if you have a new master schedule (e.g. catch-up program) done using Microsoft Project or Primavera P6, with major changes throughout the whole plan, it will be tedious and time-consuming to also make those changes in the Masterplan in Lean PlanDo. Instead, you will be able to upload this new master schedule as a different, new version of Masterplan using the feature called Versions.

This article will show you how to use the Versions feature and how to selectively update the data of your current masterplan compared to the new one.

  1. The Versions feature can be accessed via the menu on the left. Click on Versions to go inside the module.

2. The Versions window will show the Active Master Plan and other versions of Master Plans uploaded (if any).

Say, there are changes in the base dates of the whole master schedule, with the addition of new activities. If these changes are already done in either Microsoft Project (MSP) or Primavera (P6), the changes can be incorporated by uploading that new master schedule.

To do so, click on the Import New Masterplan.

3. This will bring up the usual masterplan upload window. Select the file (MSP or P6) that you wish to upload and click on Import Masterplan.

Every new masterplan uploaded will be shown in the Masterplans section under the Versions module.

4. Choose the masterplan that you want to upload as an updated version. This will bring up a preview of that masterplan. Here, you can make sure this is the plan that you want to merge, and once satisfied, click on Merge with active plan.

5. Before merging, there are three steps to make sure all the necessary changes are made at the end of the merge.

First is Merge Options. At this stage, you will be able to choose under different categories, which attribute will be kept and which will be updated between the old and new versions.

In this case, all the Base Dates will be updated, while the Expected/Actual Dates will not be updated. Dependencies, Levels, Calendar, and Progress will by default be taken from the new plan. After making the choices, click on Merge at the bottom right corner.

Second step is to Preview New Plan. At this step, you will be able to compare the current plan with the new plan, check which new activities will be added and which will be deleted.

Active Plan tab will show the current Masterplan.

New Plan tab will show the new master schedule that you are updating. Check on the Compare with active plan under the New Plan tab. This will clearly show the changes made to current activities in the current plan, in comparison to the new one. In this case, you can see the new Base Dates as compared to the old ones.

Under the Newly Added tab, you will see any new activities that do not exist in the current plan, but are additions in the new plan. In this case, there are two; Activity 1 and Activity 2.

Similarly, Deleted tab will show the activities that are in the current plan, but do not exist in the new plan, hence will be removed. In this case, there are none.

Third step is to Confirm New Plan. Here, a summary of comparison between the current Active Masterplan and Merged Masterplan (which will become Version 2 of the project) will be shown. In this case, there is a difference between the Base Dates, and hence the Base Progress of the project.

Click Confirm at the bottom right corner once everything is finalised to merge the plans.

A confirmation window will pop up, at which you can check the "Yes, I confirm upgrading the plan" box and click Upgrade.

Your original plan will now be updated as a Version 2 of the plan, with new changes from the merged masterplans.
