How to Manage Tutors and Students in an Agency

TL;DR: Owners of tutoring agencies can invite tutors to their account, assign them specific students, and manage all their learning credits in one central place.

LearnSpark helps professional tutors and schools manage many students and teachers at once. As the agency owner, you can see everything that is happening. At the same time, your tutors have the freedom to plan their own lessons.

Inviting Tutors to Your Agency

To start building your team, you need to invite tutors to join your organization. This keeps all the lessons and student records in your private agency area.

  1. Go to the Settings menu and click on the Team or Members tab.

  2. Click the Invite Member button.

  3. Type in the tutor's email address and pick the Tutor role.

  4. Click send! Your tutor will get an email to set up their own login.

πŸ’‘ Good to know: Tutors can only see the students you give them permission to work with. They won't see your billing information or other private files.

Assigning Students to Tutors

After your tutors join, you can decide which students they should teach. This keeps their workspace clean so they only see the students they are helping.

To do this, go to a Student Profile and click Manage Access. Choose the tutor from the list who should have permission to create lessons and track progress for that child.

You can even assign more than one tutor to the same student. This is great if one person teaches Math and another person teaches Art!

Checking Lessons and Progress

As the agency leader, you can check in on how things are going. You can see the work SparkAI is doing for your team in real-time.

On the Schedule tab, you can filter by a tutor's name. This shows you exactly what lessons they have planned for the week. It helps ensure every student is getting a great education.

You can also use the Performance tab. Here, you can see how a student's skills are growing based on the lessons the tutor is teaching. You can even create official progress reports for parents at any time.

Managing Credits Across Your Team

In an agency, credits are shared. This means your tutors don't have to pay for anything themselves. They use the credits from your main agency account.

Credits are used for things like:

  • Creating or changing lessons and projects.

  • Updating a student's mastery profile.

  • Searching for learning gaps in a student's knowledge.

⚠️ Heads up: If your team is very busy, you might run low on credits. You can always buy extra credit packs in your billing settings to keep things moving!

No. Only the Agency Admin can see billing details and credit totals. Tutors only see the students and lessons they are assigned to.

You can invite as many tutors as you need! Your subscription is usually based on how many students your agency is teaching, not how many tutors you have.

What happens if I remove a tutor from my agency?

If you remove a tutor, they will lose access to the students and lessons. However, all the student progress and lesson history stay safe in your agency account.

Do tutors need their own SparkAI credits?

No. Tutors automatically use the credits from your agency's central pool, so they never have to worry about buying their own.
