How to Invite Collaborators and Manage Permissions

Homeschooling is often a team effort. Whether you are co-parenting, working with a private tutor, or helping a learning pod, LearnSpark makes it easy to share your student’s progress.

You can share your lessons and schedule safely. Best of all, you never have to give your personal password to anyone else. Everyone gets their own login!

Who are Collaborators?

Collaborators are extra users you invite to join your account. They get their own access to your LearnSpark experience.

By adding a collaborator, you can let others help with tasks like:

  • Generating new SparkAI lessons.

  • Updating Student Profiles.

  • Managing your family schedule and activities.

How to Invite a Collaborator

To invite a new person to your account, follow these simple steps:

  1. Navigate to Settings: Click on your profile icon in the top-right corner and select Settings.

  2. Select the Users Tab: Here you will see a list of every person currently connected to your account.

  3. Click Invite User: Type in the email address of the person you want to invite.

  4. Choose Permissions: Select the level of access you want them to have.

  5. Send Invitation: Your friend or tutor will get an email. They just follow the link to create their own password and join you!

💡 Good to know: Collaborators will only see the parts of the account you allow them to see. Your private information stays safe!

Understanding Permission Levels

You can control exactly what your collaborators can see and do. This keeps your billing information private while your team gets the access they need.

  • Admin: This person has full access to everything. They can see billing settings and can invite or remove other users.

  • Educator/Tutor: These users can generate SparkAI lessons, view Student Profiles, and log activities. They cannot see your billing or subscription details.

  • Viewer: This is a "look-but-don't-touch" role. They can see the schedule and progress reports, but they cannot create or change anything.

Collaboration and SparkAI Credits

It is important to remember that all collaborators share the same pool of SparkAI credits. Credits are used for almost everything on the platform, like updating Student Profiles, doing a gap analysis, or generating lessons.

When a tutor generates a lesson or a co-parent refreshes a project list, it will use credits from your main balance. If you run low on credits, the platform will ask the primary account holder to upgrade. This way, you only pay for what you actually use.

⚠️ Heads up: Since credits are shared, make sure your collaborators know how you want them to use SparkAI features.

Managing and Removing Users

You are in charge! You can change permissions or take away access at any time from the Settings menu.

If a tutor stops working with your family, just click Remove next to their name. Their access to your student's data and your LearnSpark experience will stop immediately. That's it—you're all set!

Frequently Asked Questions

Can my tutor see how much I pay for LearnSpark?

No. If you set their level to Educator/Tutor or Viewer, they will not be able to see any of your billing or credit card information.

Do my collaborators get their own SparkAI credits?

No. Every collaborator you invite uses the credits from your main account. This keeps things simple for your family.

What happens if I remove a collaborator?

They will lose access to your family information immediately. They will no longer be able to log in to see your students, lessons, or schedules.

Can I have more than one Admin?

Yes! You can set another trusted person (like a co-parent) to Admin if you want them to help manage billing and other users.
