Use the Breach Reporting module to log both SRA and ICO breaches. To do this, follow the steps below:
Open a breach report
From the panel on the left, click Modules then click Breach Reporting.
Depending on your settings and account type, the system may automatically open a breach reporting record when you click Breach reporting.
Alternatively, click +Add.Complete the Client/Matter Reference, Breach Identified By and Breach Identified On fields.
Within the Breach/ Potential Breach Found field, enter the details for the breach you are reporting.
Tip: Provide as much information as possible to help those investigating the breach.
Add further notes and attachments at the bottom of the record if required.From the drop-down, select the Department, Office and Practice Area that the breach relates to.
Follow the steps below relevant to your level of access.
Data inputter access to the module
Follow the steps above, then click Save.
Note: The system automatically sends a notification to the module supervisors to advise them to log in and review it.
Supervisor access to the module
Follow the steps above, under Open a breach report.
Select a Breach Type, then select a Report Status.
Tip: To find more information about the different report status,' hover over the green i icon by Report Status.Enter a reason as to why you have selected that Breach Status.
If know, enter the Rule(s)/Regulation(s) Breached.
Finally, indicate if Remedial Action is necessary. Note: If you tick the box to indicate yes, a field appears to allow you to record the remedial action details.
Click Save
If remedial action was selected in step five. you'll be prompted to create the Remedial Action Task.
Enter the details then click Schedule Task.
Tip: Once you have recorded the breach, you can search for and tag the regulations breached against the record. This allows for reporting that can identify the most frequently breached outcomes and helps establish strategies for mitigating these types of breaches.
