Complete guide to creating a new user

To begin you will need to create the user within the Members tab. You can do this either by Email address or by username. To create individually view the guidance below.

Use an email address

  1. Click the Members icon.

  2. Click Add then click Using an email address.

  3. Select one of the following:

    • Add members in bulk​: If you have a lot of members to add, use this option to enter multiple email addresses at once, separated by a comma or space.

    • Add members individually: Use this option to enter the name, email address, and organisation role of each member individually. ​​​​​​

    Note: The organisation role determines whether the new member is an administrator on Access Workspace or an end-user.

  4. If required, enter a personal message to include in the sign-up email.

  5. Click Add.

Note: Users will not show in the Compliance software until product roles are given.

Having created the user and the user has accepted the welcome invite, now the user being in the active status you can then apply product permissions. This will grant the user access to the Compliance Software. To do this view the steps below.

  1. Click on the Members menu.

  2. To find a member, in the search field, type in the Person's name.

  3. Click on the three dot menu at the top right of the member's name card.

  4. For each product in the Manage Roles list, select the relevant role.

  5. Click Save.

With the User now having access to the Compliance software tab, permissions will now need to be given per module that the User will have allocated to them. Without this step being completed you will not be able to assign modules to the User. To do this, follow the steps below.

  1. From the panel on the left, click Account Settings.

  2. Click User Management, then next to the desired User, click Edit then Permissions.

  3. To set the permission level for each module, select the checkboxes as appropriate.
    Note: The user cannot access the module if you don't select either Data Inputter or Supervisor for a module.

  4. Click Save.
