[New] Using password-protected files in LegalOn

This article explains the features of the new LegalOn. For information on the current version’s product features, please refer to this page.

LegalOn supports uploading password-protected files. However, you must remove the password to access most key features.


Limitations of password-protected files

Unless the password is removed, the following features cannot be used:

  • File preview

  • Search for clauses

  • Online editor

  • Contract review / playbook review

  • File comparison

  • Text search within the file

  • Translation

To use these features, you must first remove the password.

Can I remove passwords inside LegalOn?

Yes — for supported file types and permissions, you can remove passwords directly within LegalOn.

✅ Supported file types:

  • Word: .docx, .doc

  • PDF: .pdf

  • Excel: .xlsx, .xls

  • PowerPoint: .pptx, .ppt

✅ User access requirements:

  • Administrator

  • Editor

  • Contributor (only for files they personally uploaded)

✅ Other conditions:

  • Files must be under the following types:

    • Contracts (excluding finalized contracts)

    • My templates

    • Other files

  • Passwords must be up to 1024 characters

  • Feature is not supported for files in the [Finalized contracts] list (support planned in the future)

How to remove a password within LegalOn

  1. Open the File detail page of the protected file.

  2. Enter the file password when prompted.

  3. Click [Remove protection].

→ A confirmation message will appear: “Password protection removed.”

💡 Info

  • Once removed, no further password entry is required.

  • All users in your tenant can now view the file and use applicable LegalOn features.

If password cannot be removed in LegalOn

If the file is not eligible for in-app password removal:

  • Open the file using its native application (e.g., Word or Acrobat).

  • Remove the password manually.

  • Save the file and re-upload it to LegalOn.

Add-in version (Word Plugin) support

Password-protected files cannot be used with the LegalOn Word Add-in.

🔓 To use such a file in the add-in:

  1. Open it in Word.

  2. Go to File → Info → Protect Document.

  3. Remove the password before launching the add-in.
