Everything you need to know to host a great event

Updated over 2 weeks ago

💡 Hosting an event is a great way to share your expertise and generate leads - and the Leland team is here to help! Everything you need to know about hosting an event with us is in this document.

Why Host an Event? 🤩

⭐️ Coaches who regularly host events earn 7x more than coaches who do not

⭐️ Our top coaches host 2-3 events per month to generate leads and close them

⭐️ 50% of customers attend a free event before booking with a coach

Coaches are empowered to set up and host their own events any time on the Leland platform -- pick a date and time that works for your schedule and accommodates your target audience! Occasionally, the Leland team will reach out to schedule events on specific topics at specific times and will invite coaches to participate based on experience and fit.

Best Practices for Hosting an Event 🎤

Creating Your Event Materials

  • You can use this template (make sure to click “Use template for new design”) to create your presentation deck

  • Pro tip: You can reuse event materials and rerun an event multiple times! Many coaches invest time upfront developing high-quality event materials so they can use them again in the future with minimal rework.

    • Events are a great way to show so many important coaching skills: Communication, preparation, depth of advice + knowledge, approachability, attitude, etc.

  • Important Note: Event recordings can be uploaded to Leland+, and you can earn more when it is watched on Leland+! We vet every event recording before adding it to Leland+ to see if it meets the quality bar. Make sure your content is outstanding!

  • Please remember these guidelines when putting together your materials:

    • NO logos from other coaching businesses can be used

    • NO links to off-platform purchasing

    • NO links to LinkedIn

Conducting Your Workshop

  • Coach-hosted events will run on our in-product conference platform. Please review these video settings.

  • To test the meeting room before your session begins, navigate to the Free events tab under Offerings. Click the three-dots (•••) next to the "Create an event" button to reveal the dropdown options. From the list, select "Test meeting room" to launch a test session.

  • Create a welcoming environment! Encourage folks to use the chat function to share where they are calling in from, what they are looking forward to, etc. Promote positivity, and keep your energy up!

  • Invite attendees to be camera-on -- this often improves engagement.

  • Drop relevant links in the chat (e.g., your Leland coach profile, packages/classes, discount codes).

  • Introduce yourself! Take a moment to share your background and strengths -- both professionally and as a coach. Establish your expertise.

  • Close with a Call to Action (CTA). A clear call to action will help you convert free event attendees into paid customers.

    • Drop your profile link + a discount code!

    • Have a free resource prepared and have them message you to receive it

    • Encourage intro calls or trial sessions (offer to answer people’s questions to get them on the phone!)

Messaging For Your Event Attendees

  • Before Your Event

    • Attendees will receive automatic reminds from Leland 24-hours and 5 minutes before your event starts

    • As an event host, you have the ability to send a short blast to your event registrants to generate hype and remind them to attend live.

      • Go to your Coach Calendar tab

      • Click "Message" and type a short note to send to attendees

        • Keep it brief, energetic, and clear!

        • Do not spam your attendees multiple times with reminders as this creates a poor experience.

  • After Your Event

    • You can send a message after your event to encourage attendees to book time/intro calls with you, share discount codes, plug certain packages, and share the event recording link in Leland+.

    • Do not share LinkedIn connection requests or links to off-platform services

On-Platform Events FAQs

  • How do I start my session and can I log in early?

    • 10 minutes before the start of your session, the link will populate in your Google Invite, and your coaching dashboard will also have a blue banner at the top asking if you'd like to start your event. After joining that event - you are live!

  • What features does the video session have?

  • How do I share my screen?

  • How do I mute a participant?

  • Will someone from Leland do an introduction?

    • You will run the event beginning to end! You control the pacing for how you manage introductions and moving through your content.

  • Will someone be monitoring chat?

    • Same as above, there will not be a co-host, so you will monitor the chat (and can do so while sharing your screen!)

❗No outside coaching business logos can be used in your event materials and absolutely NO links to off-platform purchasing (e.g., a coaching profile on another site)

Event Recordings and Leland+ 🎤

By default, our video platform records all events. If you would NOT like your event recorded, please make sure to turn the recording feature off once you start the meeting.

Event recordings are available to view on Leland+, but they are not automatically uploaded to the library. Please submit a support ticket to request that your recording be added to Leland+.

Once in Leland+, your recording is tagged to your Leland account, making it easy for viewers to connect with you. You will also earn passive income based on engagement with your recording. More info here.

If you request to have your event recording uploaded to Leland+, it must meet our Leland+ content guidelines. Once uploaded, a Leland team member will send you the recording link in Leland+ and you can distribute it to attendees. To watch, they’ll need to sign up for a Leland+ trial or have an active Leland+ subscription.

Review Details ⭐️

Ways to Promote Your Event 🚀

Here is a graphic template you can use to share on social media!

Make sure to tag Leland and we will hype up your post!

Utilize your personal network

Have friends/family who know people that could benefit from your services? Share with them! We’ve seen personal networks have ripple effects. This is also a great time to offer a friends/family discount.

You can also share in professional Slack communities, firm groups, etc.

Leverage the power of referrals

Ask participants to refer a friend who they think could benefit from the session.

Message current and former clients

Events are a great way to nurture existing clients and remind them that your coaching is valuable!

Have a giveaway/contest

Let people know in your description that you’ll be hosting a giveaway at the end of the event. This can be a free 1:1, discount code, etc.

How to Generate Leads 💸

In each free event, you should direct attendees to your coaching profile during and after the event.

Offer discounts for hourly coaching or packages

Create discounts on your coach dashboard, either % or $ off. Add them to your deck and in the post communications you send. You want to make the discount as easy to type as possible:

  • Good Format: Short and concise, conveys the discount

    • erika-m-15hourly

    • erika-m-250offpackage

  • Bad Format: Too long

    • erika-m-93782648920384

Pro Tip: Add a time block for urgency!

Free Resources

You can have attendees message you on Leland. This is a great way to get them in your inbox and on the Leland platform.

GMAT/GRE Coach Avi L. has offered a “Free Diagnostic Test and Feedback Session” to anyone that messaged him.

Examples

  • Test: Study guides, study plans, common vocab/math tips, mock test

  • Career: Common behavioral and technical questions, resume and CL guide, networking templates

  • Education: Sample essays, application checklist

Intro Calls

Encourage people to sign up for 15m free intro calls!

Tips:

  • “You can use the 15 minutes for whatever you like. Don’t be afraid to ask for direct advice, that’s what the time is for!”

  • “I have limited spots in the next few weeks for coaching”

  • “I encourage you to set up a call to see if we’re a good coaching pair”
