How to configure Alerts (email notifications) with subject line, trigger, audience, content, branding, attachments.

Alerts (email notifications) can be set to be sent to both internal and external participants to any Tama workflow or function.

The configurable aspects of an Alert are:

  • subject line

  • trigger

  • audience

  • content

  • draft/active

  • branding

  • attachments

Subject Line

For each Alert, you can configure the subject line that will appear on the recipient's email subject line in their inbox. To configure the subject line, simply enter the message you wish to headline the email subject line:

Trigger

The trigger is the action or activity in the Tama workflow/functionality that will trigger this email alert.

When you have set the Trigger, this will appear on the configuration page of the Alert as you are configuring it:

Audience

You can configure the party that will receive this trigger.

Content

You can configure the content (body) of you email using the on-screen message functionality which includes:

  • setting placeholders to extract/insert data from the Tama workflow the alert relates to

  • editing tools

  • attaching hyperlinks

  • reviewing and working with the html

Set Active

Your Alerts will only be in draft until you set "Active". Only then will the alert start working as triggered by the configuration.

Set your branding

Standard Branding:

You can set the branding that will automatically attach to your Alerts in your Profile in Tama.

HTML Branding:

Attachments

You can configure Alerts to have attachments that are sent to the recipient, attached to the email. Note that these attachments are 'static' - ie the same attachment will be sent every time this Alert type is sent. These attachments are not dynamic (ie they wont be specific to the recipient).
