Observer Guide

Sit back, observe, and discover — here’s how to do it on Bello

Step 1: Open Your Email

  • You’ll get an email from Bello with a link to join the session.

  • It’s one simple link — no logins, no downloads, no fuss. Just click, and you’re in.

  • This same link works for all observers, so feel free to pass it along to your team.

⭐ Tip: Bookmark or save the email so it’s easy to find when the session starts.


Step 2: Getting Set Up

  • After clicking the link, you'll land on the welcome screen.

  • Type in your name — this helps the team know who you are.

  • Choose your speakers (headphones or computer speakers both work).

  • Click Test Speaker to check that everything sounds good.

  • When you’re ready, click Join Meeting.

🎧 Find a quiet place, grab a drink, and settle in. You’re good to go.


Step 3: Waiting in the Lobby

  • You’ll first land in a virtual lobby — a short waiting area before the session starts.

  • You can send a private message to the host here if you need anything.

  • Don’t close the tab. Just hang tight and wait to be let in.

It’s like arriving a little early. No rush. We’ll start soon.


Step 4: Entering the Session

  • Once the session begins, you’ll be moved into the live meeting.

  • You’ll be able to watch and listen to everything.

  • Don’t worry — you’re not on camera and no one can hear you.

  • You’re here to observe quietly, behind the scenes.


Step 5: See Who’s in the Room

  • On the side panel, you’ll see a list of everyone in the session.

  • You’ll be listed as an Observer — this means you’re not seen or heard by participants.

  • Moderators, participants, and other observers will also appear in this panel.

It’s like peeking at the guest list. Totally transparent.


Step 6: Watch and Learn

  • You’re now watching the real conversation happen — in real time.

  • Just sit back and take it all in. No clicking needed.

  • If you want to say something or make a suggestion, we’ve got tools for that (coming up next!).


Step 7: Send a Probe

  • Got an idea or want the moderator to follow up on something? Use a Probe.

  • Probes are private messages sent just to the moderator.

  • Click the Probes tab, type your thought, and hit send.

Example: “Can we ask more about how they discovered the product?”


Step 8: Backroom Chat

  • The Backroom chat is a group chat just for observers and moderators.

  • Use it to react to what you’re seeing or share thoughts with the team.

  • Participants won’t see these messages.

  • Perfect for brainstorming or celebrating great insights live.

  • You can also convert a backroom message into a probe by clicking the three dots on any message and selecting Make it a Probe.

Step 9: Private Chat

  • The General tab is where messages from participants will appear. You can read everything here, but observers don’t respond in this space.

  • The Private tab is your space — it’s where moderators and the internal team (including observers) can chat freely and share thoughts.

Stick with the Private tab when you want to react, brainstorm, or drop a quick note for the team.


Step 10: Track the Session

  • The Transcript tab keeps a record of the session.

  • You’ll see when you joined and can bookmark moments you think are important.

  • These bookmarks make it easier to review later.

Every quote, comment, or “aha!” is saved for later review.


Step 11: You're Done!

  • When the session ends, you’ll see a message that says Meeting Complete.

  • Nice work. You showed up, stayed sharp, and soaked up insights like a pro.
