How to Add an Approval Process to Incoming Work Requests

Overview

Limble now offers a review and approval workflow for incoming work requests. With this feature, all submitted work requests must be reviewed by a designated reviewer before becoming an active task.

This article will teach you how to enable the feature, configure feature settings, and understand the review process from start to finish.

(Note: reporting for this feature is not yet available. When reporting is offered, it will be retroactive to include requests since the feature was enabled.)

Enabling the Feature

The work request review and approval feature is turned off by default. Only Super Users can enable and disable this feature.

  1. Navigate to the Settings > Work Request Settings and turn on the “Require review and approval of work requests” toggle.

    (Note: this feature is a global setting, so once enabled, it will be enabled account-wide, across all locations.)

  2. Once the feature is turned on, be sure to enable permission #212 'Approve or Decline a Work Request' for users who will need to review requests. By default, this permission is enabled for Managers.

    Once the work request review and approval feature is enabled, all submitted work requests must be reviewed by a designated reviewer.

Configuring Feature Settings

Navigate to the Setup and Configure Work Requests page and click the pencil icon next to the desired work request portal.

You can change the default reviewer for requests and enable notifications for requesters. Expand the sections below to learn more.

Select Reviewer for Pending Requests

  1. Under "New (Pending) Requests are assigned to...," click the blue text to customize the designated reviewer(s).

    This is the user(s) that will approve or decline pending work requests. They must be assigned to a role with permission #212.

    By default, it is assigned to the Manager. You will select from roles - not users or teams - to review pending requests.

  2. The reviewer will be notified via email that they have a new request to review and approve or decline, as shown below.

    Coming soon, you will be able to preview the email from this page. This email will not be customizable.

Enable Email Notifications for Requesters

  1. If you would like to notify a requester when their request is received, and approved or declined, click the toggle next to "Send work request status updates to requester."

    You can preview each of these emails by clicking "Preview email." iThese emails are not customizable.

How to Review Work Requests

Users must have permission #212 to review and approve or decline requests.

  1. After receiving a notification about a new request, the designated reviewer will navigate to the new Requests page (Location > Manage Work > Requests.)

  2. Until a work request is approved or declined, it will enter a "Pending" state.

    Click on the request name to approve or decline it.

Approve Requests

Click "Approve Request," which transitions the work request into an open task.


Once a request is approved, it will follow the same assignments and settings you've configured for requests at that location.

Decline Requests

  1. Click "Decline Request."

    1. In the new window, select the reason for decline from the dropdown.

      Reviewers will be able to choose from the following options:

      1. Incorrect location

      2. Incorrect team or department

      3. Insufficient information

      4. Low priority

      5. Other

    2. Optionally, add a message containing more information as to why it was declined. Then, click "Decline Request."

    3. Declined WRs remain accessible in a "declined" state on the Requests page for visibility and reporting.

What a Requester Sees

If you enabled notifications for requesters, they will receive emails when their request is received, and approved or declined.
