Allowing Your Team to Join Your Space

Set up join links and approved email domains so team members can join without individual invites.

Instead of inviting each team member individually, you can set up self-service options that let people join your Space on their own.

Only Admins can configure team join settings.

Ways team members can join

There are three ways team members can join your Space without a direct invite:

  1. Join links: Shareable URLs that anyone can use to join your Space.

  2. Approved email domains: Allow anyone with an email from your company's domain to join automatically.

  3. SSO auto-join: If SSO is set up, team members can join automatically by signing in through your identity provider.

All self-service options use your New User Access settings to determine what role and Portal access new members receive.

1. Join links

A join link is a URL you can share with your team. Anyone who visits the link can create an account and join your Space.

Enable or disable join links

  1. Go to your Space settings

  2. Find Join link under Access Controls

  3. Toggle it on to enable, or off to disable

When enabled, you'll see your join link URL that you can copy and share.

To keep your Space secure you can regenerate the Join Link at any time. The old link will become invalid immediately.

When to use join links

Join links work well when you:

  • Want to share access in a team channel or email

  • Are onboarding a group of people at once

  • Don't need to restrict access to specific email domains

Approved email Domains

2. Approved email domains

Allow anyone with an email address from your company's domain to join your Space automatically. For example, approving acme.com lets anyone with an @acme.com email join.

Add an approved domain

  1. Go to your Space settings, or click Other ways to invite when inviting users

  2. Find Join by company email

  3. Click Add domain

  4. Enter your email address with the domain you want to approve (e.g., you@acme.com)

  5. Click Continue

  6. Check your inbox and click the verification link

Once verified, anyone with that email domain can join your Space by signing up for Lingo with their company email.

Domain verification

When you add a domain, Lingo sends a verification email to confirm you have access to that email domain. Until you click the verification link:

  • The domain appears with a warning icon

  • Your team can only join your space if they follow a link to your space to signup

After verification, any user that signs up with a matching email domain will be able to join your Space.

When to use approved email domains

Approved email domains work well when you:

  • Want everyone at your company to have easy access

  • Use company email addresses consistently

  • Want to automate onboarding for new employees

  • Want more control than join links provide

3. SSO auto-join

If your Space has SSO configured, team members can join automatically by signing in through your identity provider. See Setting Up SSO for details.

Configuring default access for new members

All self-service joining options use your New User Access settings. This controls:

  • Which Portals new members are automatically added to

  • The default role (Member)

Billing note

New team members who join your Space through any method may incur addional costs but new user access settings do not allow anyone to join as an editor.
