Service Web Proposals

Written by Kaitlin Lane

Service Web Proposals let you send Service estimates as mobile-friendly, interactive proposals that clients can review and respond to in their browser.

Clients do not need to download a PDF or sign in to the portal to review the proposal. They can approve and sign, request changes, or decline directly from the proposal page.

In this article:

Why Web Proposals?

We've upgraded the feature you already know and love. You still have all the same capabilities, plus a suite of new ones. This doesn't change how you estimate work, it just modernizes how your proposals are presented.

Web Proposals gives you access to:

  • A mobile-friendly client experience.

  • A live preview of exactly what the client will see.

  • In-browser approval, electronic signature, and request changes.

  • Billing-type-specific proposal summaries for Service estimates.

  • Proposal customization before sending, including the option to save your preferred display settings as your default.

  • Client Estimate Files for sharing photos and documents.

  • Optional work areas and services, so clients can choose what they want in one proposal.

  • Sharing the proposal via email or text message

  • New capabilities as they ship — ongoing feature development is focused on Web Proposals.

If you need to opt out, turn the Web Proposals setting OFF (Settings > Estimate > Estimate Settings > Web Proposals setting > toggle OFF > select Save Changes).

⚠️ The opt-out setting may not be available as LMN completes the transition away from legacy proposal reports.

⚠️ Billing setup details aren't shown on the web proposal yet, but will be added before the end of the year.

What changed

The Service proposal workflow now uses a web-based preview and send experience instead of the legacy Print Reports proposal flow.

  • Preview & Send replaces the legacy Print Reports > Service Proposal workflow.

  • The estimator preview mirrors the client-facing proposal.

  • The summary adapts to the estimate's billing type and updates based on optional services that the client opts into.

  • Clients can open the proposal from a link in a browser or on a mobile device.

  • Clients can respond without downloading a PDF or signing into the portal.

  • Display settings control which service, visit, and pricing details the client sees.

  • Photos and files are managed from the Services + Pricing area using Client Estimate Files.

  • Proposals in Classic Reports and Print Reports are no longer available.

Here's how the workflow compares side by side:

Web Proposals are controlled by an account-level setting for both Standard and Service estimates. This setting is applied globally across your account, meaning individual users cannot disable or modify it independently.

Customize a proposal

  1. Navigate to Estimates > Service

  2. Click open an estimate

  3. Select Preview & Send in the upper-right corner

  4. Click the Customize button to open Customize Client View

  5. Use the checkboxes to choose the details the client can see.

⚠️ The available settings depend on the billing type

  6. (Optional) Select the box next to Save as Default to apply these display settings automatically to future service estimates, including estimates created in LMN Crew

  7. Select Apply

  8. Review the updated preview before clicking Send Estimate

⚠️ Selecting a toggle does not update the preview until you select Apply. The settings in place when you send the proposal determine what the client sees. If you change the estimate or display settings after sending, resend the proposal so the client receives the updated version.

💡 If you close the Customize Client View panel with changes you haven't applied, LMN prompts you to confirm before discarding them

For Per Season proposals, each of these settings is independent:

  • Price Per Month

  • # of Months

  • # of Visits

  • Service Total

  • Taxes

  • Monthly Total

  • Contract Total

💡Each setting controls the equivalent value in both the Web Proposal and the downloaded or printed PDF.

For example, hiding # of Visits removes the visit count from both outputs without changing the other Per Season display settings.

Send a proposal

  1. Navigate to Estimates > Service

  2. Click open the estimate

  3. Click the Preview & Send button

  4. Review the proposal and apply any customization settings.

  5. Confirm the recipient and click Send & Publish to send the proposal.

  6. The client receives a link to the web proposal. The proposal opens in the same browser-based experience you reviewed in the estimator preview.

Web Proposal Features

Optional Work Areas & Services

Give clients choices within one proposal. Mark a service as optional, and the client can select or deselect it while the proposal total updates in real time — no page reload required.

  • You can preselect an optional service as a recommendation. The client sees it checked by default in the proposal but can still deselect it.

  • Selections persist even if the client leaves and comes back to the proposal, whether or not they're signed in.

  • Nothing is final until the client selects Approve & Sign, Request Changes, or Decline.

  • When the client approves, required services and any accepted optional services transfer to the job. Declined optional services are hidden from the total but stay in the estimate so you can add them back later as a change order.

Client Estimate Files

  • You can preselect an optional service as a recommendation. The client sees it checked by default in the proposal but can still deselect it.

  • Selections persist even if the client leaves and comes back to the proposal, whether or not they're signed in.

  • Nothing is final until the client selects Approve & Sign, Request Changes, or Decline.

  • When the client approves, required services and any accepted optional services transfer to the job. Declined optional services are hidden from the total but stay in the estimate so you can add them back later as a change order. 💡 If you use the classic Print Reports PDF flow, optional items will not be interactive, and customers will not be able to make selections online.

  1. Open the Service estimate

  2. Click the Services + Pricing tab

  3. In the Client Estimate Files section click the Upload Files button and select the files you want to include.

The files appear in the Proposal Preview and in the Client-Facing Proposal.

💡The Portal tab is used for proposal revision history rather than uploading proposal files.

View or download a PDF

  1. Open the Service estimate

  2. Click Preview & Send

  3. Click Download PDF to save a copy, or click Print to print the proposal

    • The PDF uses the Proposal Visibility settings that were applied in the preview. Select Apply before downloading or printing if you changed any settings.

    • If the estimate includes optional services, the draft PDF marks each one with the word Optional and an empty checkbox to the right of the item name, so a client reviewing a printed copy can mark their choice by hand.

    • Draft PDF totals include all optional services regardless of selection.

    • Once the client approves the proposal online, LMN regenerates the PDF to include only the required and accepted items, along with the client's signature.

How the Client Responds

The client opens the proposal link in a browser or on a mobile device.

They can:

Approve & Sign

to approve the proposal and complete the electronic signature.

Request Changes

to send feedback or ask for revisions. Their note is recorded in estimate History.

Decline

to decline the proposal.

  • On a mobile device, the response buttons remain available at the bottom of the proposal. Optional services remain selectable until the client submits one of these responses.

  • When the client approves, required work and accepted optional work are included in the approved scope. Optional work the client does not select is not included.

  • If the estimate includes optional services, the client sees a checkbox and an Optional badge on each one. Selecting or deselecting an option updates the subtotal, tax, and total immediately.

  • Clients can respond from the public proposal link without creating an account or signing in. If your account also uses the authenticated customer portal, note that the portal's signed-in view is still being updated to match the new experience — the public link already reflects the current Web Proposals experience.

  • The standalone Comments section is not available in Web Proposals. Clients should use Request Changes to send a note.

Turn Web Proposals ON or OFF

Web Proposals are controlled by an account-level setting for both Standard and Service estimates.

  1. Go to Settings > Estimate > Estimate Settings

  2. Next to the Web Proposals setting, toggle the setting ON or OFF

  3. Click the Save Changes button in the top right
