Watch a short walkthrough of what to prepare before kickoff and how to submit it. Prefer to read? The steps are below.
A little information up front helps us build your LMN account around your business. Please send your documentation before kickoff. If something is hard to find or not ready, send what you have and let us know so we can plan for it.
What do I need to send?
You will send your documentation package, which has three tabs, plus a few business documents. Here is what to send and how we use each item:
Completed documentation package: your sales goals and tax rates (Basic Info tab), your staff (Staff tab), and your equipment (Equipment tab). We use the sales goals and tax rates to set up your budget and estimates, the staff list to set up your users and the labor costs in your budget, and the equipment list to build equipment costs into your budget and pricing.
Most recent full-year Profit and Loss statement: we use it to build an accurate budget.
One completed estimate (one is fine): we use it to learn your services, terms and conditions, and how you like your proposals to look.
Vendor or material price lists, as CSV or PDF files: we use them to build your Price List.
Customer list, as a CSV file, ideally from the software where your jobs or work tickets live today: we use it to set up your customer records.
Company logo, as a PNG or JPEG (helpful but not essential): it appears in your account, on your estimates, and in your Customer Portal.
How do I send my documentation?
Start from the Step 3 action in your onboarding checklist. It takes you directly to your documentation package.
Important: Do not add columns to the documentation package. If you have additional details to share, complete it as is and add them in the Additional Notes box or tell your onboarding specialist.
Step 1: Make a copy of the documentation package
Open the documentation package from your checklist step.
Click Make a Copy.
Step 2: Fill out the Basic Info tab
Enter your previous and forecasted sales for each division you run: Design/Build/Install/Enhancements, Grounds Maintenance, Irrigation, and Snow. Then add the tax rates for the places you work. If you work across counties, provinces, or regions with different rates, include each one.
Step 3: Fill out the Staff tab
List everyone on your team. For each person, add:
First and last name
Email address
Office or field (choose from the dropdown)
Division
Position (choose from the dropdown)
Yearly hours and yearly overtime hours
Wage, either hourly or yearly salary
Hours and wages are especially important, so please fill them in for everyone.
Email addresses are preferred but not required.
Step 4: Fill out the Equipment tab
List the equipment you own or plan to buy this year. Keep it high level: combine similar items and use average numbers. You do not need make or model details.
Owned or financed equipment: type, quantity, replacement cost, lifespan in years, and resale value.
Leased equipment: type, monthly payment, and number of payments per year.
Step 5: Submit your documentation
Return to the form linked from your checklist step.
Enter your company name and email address.
Attach a file for each item: your completed documentation package (the copy you made), company logo, Profit and Loss statement, vendor or material price lists, and one completed estimate.
Add anything we should know in Additional Notes.
Check that everything is entered and attached, then click Submit.
What happens next?
Your onboarding specialist reviews what you sent and uses it to prepare your account for kickoff. If something is missing, they will let you know what is still needed. If you submit your documentation before kickoff, we can also start entering it into your budget during the call, so you move ahead faster.
