1. Predefined roles

There are 5 roles available in Loomly:

  • An Editor has full permissions in terms of content management (create, edit, view, delete) and collaboration (assign, update state, schedule, comment). An Editor has limited user management permissions: they can invite other collaborators, can can only modify Editors, Contributors, Clients & Viewers' roles, and cannot manage ownership of the calendar.

  • A Contributor has limited permissions in terms of content management (create, edit and view only — no delete, unless if the Post was created by the Contributor), collaboration (comment, assign and submit for approval only — no approval, no scheduling) and user management (no invite).

  • A Client has limited permissions in terms of content management (view and delete only — no create, no edit and no access to Draft posts) but full permissions in term of collaboration (assign, update state, schedule, comment). A Client has limited user management permissions (invite collaborators).

  • A Viewer has limited permissions in terms of content management (view only — no create, edit or delete), collaboration (comment only — no assign, update state or schedule) and user management (no invite).

When you invite collaborators to Loomly, regardless of the role you chose for them, they need to create an account but they do not need to subscribe to a plan (they can use Loomly for free), as long as they do not create calendars of their own. You can invite as many collaborators you want within your plan’s limitations

Here are the permission levels for all collaborator roles based on key features to understand what features each role can access:

2. Custom Roles

Custom Roles allows you to create tailor-made sets of permissions for each of your team members, in a more granular and flexible way:

Not only can you decide how your collaborators can interact with features and content inside each of your calendars, but you can also limit the timeframe of the posts they can see, which is particularly useful if a collaboration has a pre-established end date.

Note: This feature is available on the Advanced Plan and up.

Custom Roles are available from the Roles tab in the Calendar settings page of each calendar. Do not hesitate to take a look at the Flash Webinar focusing on Roles.
