Client Handbook: How to Use Loomly?

A detailed guide for Clients getting started with Loomly to learn how to approve content and collaborate with teammates and agencies.

Welcome to Loomly, the easy-to-use social media management platform! This guide has everything you need to get up and running quickly.

1. What can a Client do in Loomly?

When invited to collaborate in Loomly as a Client, you’re required to create a free account. You can continue to use Loomly for free as long as you do not create any additional calendars of your own.

As a Client, you'll be able to:

  • Assign tasks to other members of the calendar, update post statuses such as Pending Approval and Approved, schedule content, and leave feedback in comments

  • View and delete content, but you won't be able to create any new content or edit existing posts

  • Invite other collaborators as a Client, Contributor, or Viewer, and manage their roles within Loomly

2. How do I collaborate in Loomly?

Once your collaborators have crafted engaging posts and submitted them to you for approval, you can guarantee that each post aligns with your standards before being scheduled and published.

Enjoy flexible approvals that suit your workflow

Preview individual posts: Preview every post before it goes live and leave feedback in comments so you can ensure your brand tone is maintained.

Review content in batches: Get notified when your collaborators have drafted a week or month's worth of content. Approve posts quickly using List View or get an overview by checking out Calendar View.

Approve posts in minutes using a simple and intuitive interface

Real-time comments: Engage with your collaborators in the comments section to offer feedback or seek clarifications on a post.

Tag collaborators: @mention individuals in your comment to notify collaborators that you provided feedback or to ask for clarification.

Review post and comment history: See end-to-end post history to understand all the updates and progress made.

Get the right collaborators involved

Approvals operate using Post Statuses. Depending on your level of permissions, you might have access to the following Post Statuses: Approved, Requires Edits, Pending Approval, and Scheduled.

There are two ways to tag a collaborator:

  1. The first is to @mention them in the comments so they know to take action.

  2. The second is to reassign the post to a collaborator since collaborators will only receive notifications that a post status has changed or a post is being resubmitted for approval if they are specifically assigned to that post.

💡 Tip: To ensure the right individuals are promptly notified about each post update, follow these tips:

  1. If the post is approved, update the post status to "Approved" or "Scheduled" and then assign the relevant collaborator.

  2. If further edits are needed, set the status to “Requires Edits,” and then assign the appropriate collaborator.

This ensures that the collaborator responsible for the next step receives timely notifications when the post status changes.

💡 Tip: For a more streamlined approval process, here are some bulk action tips:

  1. Use filters to see posts that require approval in List View

  2. Leverage our bulk action feature in List View to assign collaborators to multiple posts or approve posts in bulk.

  3. Assign multiple collaborators to a single post to participate in the approval and publishing process.

Get notified wherever you are

You can customize your notification settings and the frequency with which you receive notifications from Loomly to ensure your inbox stays uncluttered.

Receive notifications via email, push notifications on your mobile device, or right from your preferred communication tools like Slack and Microsoft Teams for real-time updates.

3. Efficiently manage all your creative assets

Store, organize, and manage all creative assets in Loomly’s library. You can access your Library from both List View and Calendar View via the Library icon in the top right of your toolbar.

The Library allows you to:

  • Upload approved photos, videos, and PDFs from your computer, Google Drive, and Unsplash so that your collaborators can draft posts quickly

  • Manage exported designs from Canva

  • Edit asset details for new or existing assets including changing the name, marking the asset as used, or uploading a new version

  • Add labels to easily organize and filter visuals

  • Create Notes so that you can save text and links for your collaborators to use when drafting posts

  • Delete assets that are no longer required

  • Apply changes to multiple files simultaneously using bulk actions such as labeling or downloading assets

  • Generate video slideshows from two or more images

  • Edit images and videos using Loomly Studio including cropping, resizing, and trimming content

💡Tip: To quickly locate assets, filter criteria like labels, asset type, and whether or not it was used in a post.

Follow these steps to edit each individual asset and see Asset View:

  • Click on the three dots on the corner of the asset you wish to edit

  • Select "View Asset" from the menu that appears

  • You'll be redirected to Asset View and have options like accessing Loomly Studio for image and video edits
