The Invoices page is your billing worklist. Three figures at the top tell you where invoicing stands overall, a filtered table below shows every invoice, and the buttons between them are where you raise a new one or take a payment against an existing one.
Who: School Admins · Where: Payments › Invoices
The three figures
• Invoices Sent — how many you've issued
• Unpaid Invoices — how many are still outstanding, the number to work down
• Paid via Invoice — the total collected through invoicing
These cover everything, not just what's currently filtered below — so the count in the table won't usually match Invoices Sent.
The action row
Create Invoice starts a new invoice from scratch.
Take Payment collects money right away rather than billing for it later — use it when the student is in front of you or on the phone.
Export Invoices pulls the list out for finance or reconciliation.
Manage Templates edits the messages that go out with invoices, so you're not rewriting the same reminder each time.
The 7d, 30d and 90d buttons beside them switch the time window the list covers.
Filters, and why the list looks short
Above the table, Active filters shows what's currently applied as removable chips — for example Status: DRAFT & OPEN and Deleted: No.
This catches people out. The default view hides paid and voided invoices, so an invoice you know exists can look missing. If you can't find one, clear the status chip before assuming anything is wrong. The funnel icon on the right shows how many filters are active.
Reading the table
• Student Name — who it's billed to
• Status — where the invoice has got to
• Description — what it's for, which is what the student sees
• Created and Created By — when it was raised and by whom
• Amount and Amount Due — the full figure, and what's left on it
• Due Date — when payment is expected
Amount and Amount Due differing means the invoice is part paid. Sorting by Due Date is the quickest way to find what to chase first.
The menu at the end of each row holds the per-invoice actions — view, edit, resend, delete and void. See Invoice Actions below.
Write descriptions the student will recognise
The description is what appears on the student's invoice, so it does double duty: it's also what makes the list searchable for you months later. "Expert Welder Program — totals do not include housing deposit" tells both of you something. "Deposit" tells neither of you which one.
