Al Attendee Fails to Join My Meetings

Here are a few things to check if you joined the meeting but your AI Attendee did not:

  1. VC Link in the Location, Plug-in: Ensure that any VC link is provided in the appropriate location or plug-in. Note that if the Zoom link has a password, and if the password isn’t embedded in the Zoom link, it won’t be able to join. Here is an article on how to embed passwords in Zoom links.​

  2. AI Summary tab: Open the relevant event on your timeOS calendar to access the meeting space on timeOS, and navigate to the "AI Notes" tab. See if your AI Attendee is enabled or if there is any action required from you in order for it to join.

  3. Define your 'Preferences': Double-check your "Preferences", under "AI Attendee", select your choice under 'Invite Your AI'.

  4. Closed and Re-opened the Meeting VC: If you closed and re-opened the meeting video conference, Your AI will not join again automatically. In such cases, you will need to manually add Your AI to the meeting once more.

  5. RSVP: In order for your AI Attendee to join, you should either RSVP as "Yes" or "Maybe". For pending and rejected events, Your AI will not show up.

  6. Other Meeting Participants: Your AI Attendee will only join meetings that contain other participants. Calendar events where you are the only participant will not be joined by your AI automatically.

  7. Your AI Attendee is waiting to be admitted to the call: If a waiting room is enabled on your call, it is possible Your AI is stuck in the waiting room until the host admits them to the meeting. Please make sure this is addressed as you join to ensure your AI Attendee can summarize the full length of your meeting.

  8. Your organization does not allow anonymous users to join meetings, only logged in users are allowed to join, for example on Outlook or Zoom. Our AI attendee is unable to login, and so cannot join your meetings. We recommend checking with your admin about removing this setting from your workspace.

  9. Your AI Attendee was kicked out: Either you or the host may have kicked out your AI Attendee, and now you need to invite it back in. To do so, go to the relevant meeting space, navigate to the "AI Summary" tab, and click on "Re-add Your AI now".

  10. Run out of AI meetings: If you open your "Preferences", under "Account", you can see how many AI meetings you have left. If the issue persists despite these suggestions, please send hey@magical.team the names and exact times & dates of recent meetings that your AI attendee bot did not join. This will help our team investigate this issue further.
