Mailboxes show Failed, Pending, or "already exists" — or nothing happened after creating them

Normal activation time, what Pending, Setup, Failed and "already exists" mean for SMTP and Google Workspace mailboxes, and when to contact support instead of recreating.

First: give it time

New mailboxes aren't ready instantly. SMTP mailboxes typically activate in 30–90 minutes; Google Workspace mailboxes usually take a few hours. Bulk creation runs in the background without a progress bar, so an empty or "Pending" list right after you submit is normal — refresh after a while before assuming something is wrong.

The golden rule: if something looks stuck, don't delete, recreate or re-submit — that creates duplicates, "already exists" errors and, for Google Workspace, addresses you can't reuse until the end of the billing period. Contact support instead.

What each status means and what to do

  • Pending — still being provisioned. If an SMTP mailbox is Pending for more than 24 hours, or a Google Workspace mailbox for more than 24–48 hours, contact support.

  • Setup processing / Setup awaiting — the mailbox exists and the domain is Active, but the final setup step on our mail servers hasn't finished. Small batches clear within a few hours; very large batches (hundreds of mailboxes, e.g. via the API) can take longer and may finish partly. If it's still in Setup after 4–6 hours (a day for very large batches), contact support — we finish it from our side at no extra charge.

  • Failed — provisioning didn't complete. See the causes below.

  • "Already exists" — you deleted a mailbox and tried to recreate the same address. See below.

Why a mailbox shows "Failed"

  • The domain wasn't ready. Check that the domain is Active on the Domains page, and — for your own (external) domains — that only Maildoso's two nameservers are set at your registrar. If the domain is Active and nameservers are correct, contact support and we'll re-run provisioning.

  • Google Workspace: the domain's Admin mailbox was deleted or cancelled. That cancels the whole Google Workspace of the domain, so every new Google Workspace mailbox on it fails, however many times it's recreated. Stop recreating and contact support — see The "Admin" mailbox.

  • Google Workspace: the address is still waiting for its removal date. A deleted Google Workspace mailbox stays active until the end of the billing period, and the same address can't be created again until then — so recreating it shows Failed. This is expected and support can't speed it up: use a different address, or wait for the removal date. See Deleting a Google Workspace mailbox — how it really works.

Google Workspace mailboxes stuck in "Pending" for days

The most common cause is a missing first name or last name. Google Workspace requires both for every account; if either is blank, provisioning fails silently and the mailbox sits in Pending — and recreating it without a name repeats the same thing. Always enter a first and last name for each Google Workspace mailbox. If mailboxes are already stuck, contact us with the addresses: we'll set the missing name and restart provisioning (you can change the display name later yourself).

"Already exists" after deleting and recreating

  • SMTP: a deleted mailbox isn't cleared instantly. Wait a little, or contact support to clear the old record before recreating the same address.

  • Google Workspace: the old mailbox is still active until its removal date, so the same address can't be recreated before then — see the Failed section above.

You clicked create but see no mailboxes and no confirmation

Wait a few minutes and refresh once — the job may still be running. If after ~90 minutes there's still nothing, don't re-submit. Send us your account email and how many mailboxes you expected on which domains, and we'll confirm whether the job started and fix it if it stalled. Tip: for Google Workspace mailboxes make sure you selected the Google mailboxes option — a domain serves either Google Workspace or SMTP, not both.
