My mailbox shows "Inactive" — what does that mean?

What Active, Inactive, Pending, Failed, Deactivated and "Deletion scheduled" mean for a mailbox, what the other columns and badges on the Email accounts page show, and why Inactive often clears on its own right after connecting to a sending tool.

Your mailboxes go through a few different statuses as they're created and used. This guide explains what each one means, what the other columns and badges on the Email accounts page show, and what usually causes a mailbox to briefly show "Inactive."

What the statuses mean

  • Active — the mailbox is fully set up and ready to send and receive.

  • Pending — the mailbox is still being created. This is normal right after you order mailboxes; give it a little time.

  • Inactive — the mailbox exists but isn't currently marked as active in your dashboard. This can appear briefly right after you connect a mailbox to a sending tool or warmup service, before your dashboard catches up with the change.

  • Failed — mailbox creation didn't complete. Usually the domain wasn't fully ready yet. For Google Workspace it can also mean the address you recreated is still waiting for its removal date, or that the domain's Admin mailbox was cancelled. Don't recreate it again — see Mailboxes show Failed, Pending, or "already exists".

  • Deactivated — the mailbox was active before but has since been turned off, most often due to a billing or sending-limit reason.

  • Deletion scheduled · <date> — the mailbox was cancelled or deleted and will be removed on the date shown. Until then it is still running and still counts as a slot on your plan. An SMTP mailbox can be deleted right away instead if you don't want to wait; a Google Workspace mailbox can't — it is always removed on that date, and its address can't be recreated before then. Scheduling a deletion doesn't lower your invoice by itself. Details: Deleting, replacing, reducing, or cancelling mailboxes and domains.

Other columns and badges on the Email accounts page

Besides the Status column, each row on the Email accounts page shows a few more indicators. None of them are errors:

  • Provider icon — a purple Maildoso "m" means a standard SMTP mailbox; a Google "G" means a Google Workspace mailbox. You can also filter the list by Provider.

  • Admin badge — shown next to one Google Workspace mailbox per domain: the administrator (primary) user of that domain's Google Workspace. It works like any other mailbox, but deleting or cancelling it cancels the whole Google Workspace of that domain, with every mailbox on it — see The "Admin" mailbox.

  • Sequencer logo — a small logo (for example your sequencer's icon) means the mailbox was connected to that sequencer from the dashboard with Add to sequencer. This only applies to Google Workspace mailboxes; SMTP mailboxes are uploaded to a sequencer by CSV, so the column stays empty for them even when they're connected and sending — an empty column is not a sign the mailbox is disconnected.

  • Created date — when the mailbox was created. For a new mailbox, use this to see how far it is through its warmup period.

  • Forwarding: "Not set" — no forwarding address has been set for that mailbox. It's optional and the mailbox works normally without one — see Forwarding Addresses / Master Inbox.

  • Redirect URL — the website the mailbox's domain redirects to. It's shown here for reference only; to change it, go to the Domains page — see Domain redirects: what they do and how to set your redirect URL.

  • Google Score / Microsoft Score — the mailbox's reputation with each provider (High is what you want). See Understanding your mailbox reputation scores.

Why "Inactive" often shows up right after connecting to a sending tool

If you just added your mailboxes to a sequencer or warmup tool (for example Instantly), it's common to see some or all of them briefly labeled "Inactive" in your dashboard, even though nothing is actually wrong. This is usually just the dashboard view catching up with the change.

  • Give it a few minutes, then refresh the page.

  • Check the mailbox again after refreshing — in most cases it will now show "Active."

  • If a mailbox still shows "Inactive" after refreshing and waiting a bit, try logging out and back in, or checking from a different browser tab.
