What is a Procedure?
The Procedures feature lets you create a digital library of service procedures. You can define machine service steps, add reference resources for engineers, and attach procedures to Work Orders. Service engineers can then complete the procedure digitally, upload proof (pictures), and collect signatures from facility managers.
Navigation:
Go to CMMS > Procedures from the main menu.
Creating a Procedure Template
Step 1: Start a New Procedure
Click the Create a procedure button (top-right corner).
Enter a Procedure Name and optional Description (max 270 characters).
Click Get Started.
Your new procedure page will load.
Step 2: Build Your Procedure
You can add Headings, Fields, and Sections.
1. Add a Heading
Click Heading under Add Item.
Hover to Rename, Duplicate, or Delete.
2. Add a Field
Click Field under Add Item.
Choose a Field Type (full list below).
Enter a Field Label.
Set the field as Required if needed.
Optionally, add:
Description (max 300 characters).
Attachments (PDF/Excel/Images, max 10 MB).
Use icons to Duplicate or Delete fields.
3. Add a Section
Click Section under Add Item.
Sections group related fields together.
Hover to Rename, Duplicate, or Delete.
Field Types
Field Type | Description |
Text Field | Freeform text input. |
Check Box | Single checkbox. |
Number Field | Numeric input. |
Single Select | Dropdown with one selectable option. |
Checklist | Multiple selectable options. |
List | Similar to Checklist but displayed as a list. |
Image | Allows image upload (JPEG, PNG, max 10MB). |
Date | Date picker. |
Table Field | Create tables. You can: |
Parts Field | Select parts from your inventory. |
Members | Assign company users. |
Sub Asset Field | Select immediate subassets of the asset the procedure will be attached to. |
Signature | Add signature fields for responsible parties. |
Procedure Preview
Click the Preview icon (top header) to see how the procedure will look when attached to a Work Order.
Add a Company Header (Optional)
In Preview:
Click Customise header.
Upload an image (100 x 794 px, JPEG/PNG).
To remove, click the trash icon.
Add Signature Fields
Click Signature in the procedure template.
Toggle Include signatures.
Add Signatory Title (e.g., Facility Manager).
Click + Add signature for additional signatories.
Click Save settings.
Signatures will appear in the procedure preview.
Saving the Procedure
Click the Save procedure button (top header).
The new template will appear in the Procedure Library.
Notes
You can attach multiple procedures to a single Work Order.
The same procedure can also be attached multiple times if needed.
