Uploading Machines, Parts, Customers, and Customers' Users

This article explains how the admin can bulk upload the data on the Makula platform. You can add assets, parts, customers, and customers' users using bulk upload instead of adding them one at a time, this will allow you to save a lot of time and import them all at once!

While uploading the data, if you want to add additional information related to machines, parts, customers, and customer users. You can use custom fields to do so. Custom fields are user-defined fields that you can add to work orders, assets, customers, and inventory to capture specific information unique to your business needs. These fields need to be pre-defined before you can upload the data. To learn more about how to add custom fields, click below.

Bulk Upload with Custom Fields

Custom fields allow you to personalize your data management and enhance your platform's functionality.

  • Preparing Data for Bulk Uploads

    Ensure your data is correctly formatted with custom field values before performing bulk uploads.

  • Formatting Data with Custom Fields

    Format your data file according to the guidelines. Include custom field values in the appropriate columns.

  • Mapping Fields During Upload

    During the bulk upload process, map the data columns to the corresponding custom fields and confirm the mapping.

    • For a Single select type in the custom field, add the exact values in the platform as they are in the file for accurate mapping. For example, if you have two types of machines and in the data file they are shown as Electrical and Mechanical in the Machine type column. You can capture that information by creating a Single select custom field called "Machine type" and adding values "Electrical" and "Mechanical". The system will automatically create the mapping for you while uploading the data.


Uploading your Machines

NOTES:

  • Bulk upload only supports importing new machine data on the platform. Updating the machine data using bulk upload is not available at the moment.

  • Uploading machine data uses machine serial numbers to match data on the platform. If the serial number is not found on the platform, a new machine is created.

  • You can use CSV, XLS, and XLSX file formats to upload the data.

  • The file cannot contain duplicated Machine serial numbers and it must be unique.

  • The Machine serial number is a required field and cannot be empty.

  • If the Customer ID is missing, the machine will be added but will not be assigned to any Customer.


Uploading your Customers

NOTES:

  • Bulk upload only supports importing new customer data on the platform. Updating the customer data using bulk upload is not available at the moment.

  • Uploading customer data uses customer ID to match data on the platform. If the ID is not found on the platform, a new customer is created.

  • You can use CSV, XLS, and XLSX file formats to upload the data.

  • The customer ID is a required field and cannot be empty.

  • The customer name is required, and duplicate values are allowed.

  • The street, city, and postal code have to be individual columns in the file and values will be combined into a single Address by the system automatically. The address is optional.


Uploading your Customer Users

NOTES:

  • Bulk upload only supports importing new customer users' data on the platform. Updating the customer users' data using bulk upload is not available at the moment.

  • Uploading customer users' data uses email addresses to match data on the platform. If the email is not found on the platform, a new customer is created.

  • You can use CSV, XLS, and XLSX file formats to upload the data.

  • The customer ID is a required field and cannot be empty.

  • Duplicated customer IDs are allowed.

  • The customer users' email addresses should be unique i.e., no two users can have the same email address.

  • The customer user's email address is a required field and cannot be empty.

  • Customers will be added first on the platform followed by one of the following in any order, Machines and Customer Users.



​Uploading your Parts

NOTES:

  • Bulk upload supports importing parts data on the platform. Updating the parts data using bulk upload is not available at the moment.

  • Uploading parts data uses article numbers to match data on the platform. If the article number already exists on the platform, the system will not add the part again and will only map the part to the machine.

  • You can use CSV, XLS, and XLSX file formats to upload the data.

  • The "article number" is a required field and cannot be empty.

  • The "Part Name" is required.

  • The "Machine Serial Number" is required.


Uploading Guide

Steps:

  1. Prepare the data files and the platform according to the above-mentioned guidelines.

  2. Go to Data Management in the Main Settings and select which type of data you want to upload. Click on "Upload Data".

  3. Read the guidelines carefully and make sure the file is prepared according to it.

  4. Click on "Next" to start the data upload process.

  5. You will see which data columns are required or optional for the upload. Click on "Upload data from file" and select a file that you want to upload.

  6. Confirm that the first column is the file header and click "Yes".

  7. Next, evaluate all the columns and confirm the mapping.

  8. View the data you are going to import.

    2. It will notify you of any issues with the import

  9. Click "Finish" to upload the data.
