How to manage your Settlement Reports

If a consignor is assigned to an item in your auction (see FAQ here) at the end of the auction, when the admin clicks on the 'End Auction' option, a settlement report(s) will automatically be created.

You can view the Settlement Report by clicking on the Auction title, and then click on the Settlements tab as seen below:

Most clients will want to apply a Commission %, or a Sliding Commission % to the settlement report(s) and also may want to include one-time fee's onto the settlement report such as a marketing fee, or even item level fees (lotting fee per item). To do this, you must go to the Configurations: Global Fees page (from the main left side navigation). Please review this FAQ article on creating Global Fees.

To apply a global fee to a Settlement Report, checkmark the settlement report and then click on the orange colored Group Actions button, and select 'Add Fee', as seen below:

You can then click on the Fees drop down, and select the Fee you want to apply to the selected Settlement Report as seen below:

TIP: There is a grey colored '+Add More' button you can click on which will allow you to apply multiple fees at once.

Just click on the green 'update' button to save, and the Fee will now be applied to the settlement report as seen here:

There are other fee's, besides a commission %, that you can apply to a Settlement Report. From the Admin:Configurations:Global Fees page, you can create a new Fee type of 'Seller Fee'.

On the Settlement page, you can also checkmark the settlement report and click on Group Actions and select the 'Add Custom Fee' option:

This will allow you to apply any type of Fee to the settlement report. These fees you add are NOT saved to your Global Fees page - they are one-time use just for this specific settlement report.

From the Actions Menu on the far right of the page, there is also a 'Manage Fees' and a 'Manage Custom Fees' options where you can customize Fees on the item & settlement level within this specific settlement report.

To preview the Settlement Report, you can simply right click on the Settlement Report number and open in a new tab, or from the Actions Menu you can Preview or Download either the Summary or Detailed Settlement Reports.

When the Settlement Report has been reviewed and is ready to be emailed to the client, you must APPROVE the settlement report. Just like Approving an invoice, when you Approve the settlement report, it is then viewable to your consignor through their public bidder/consignor profile under the 'settlements' tab.

Approve the Settlement by checkmarking it and using the Group Actions button and select 'Approve'.

From the Actions menu, you can record payments and email the settlement to the consignor (optional).
