How to assign inventory items to a Consignor

IMPORTANT: If you do not assign items to a consignor, and End the Auction, it is final - you cannot go back after the auction is ended to assign items to a consignor to generate a settlement report.

There are multiple ways to assign inventory items to a Consignor. The first step is to ensure that the Consignor(s) are added to the Users page. Once the Consignor is in the system, inventory items can be assigned in the following ways:

Option #1 - through the ITEMS page

In the admin panel, click on the auction title, and then from the auction dashboard click on the 'ITEMS' page. Checkmark the item#'s and then click on the orange colored Group Actions button and then select the 'Assign Consignor' option from the drop down menu.

A pop-up window will appear, and you can search or type in the Consignor User # and then click the Add button to save.

As seen below, on the ITEMS page, there is a 'Consignor' column that will display each items Consignor User# and Name.

Option #2 - through the Edit Item page (lot level)

You can also add/edit the Consignor of an item through the Add/Edit item page. From the Auction Dashboard, click on the ITEMS page, and then either click on the green colored 'Add' button to add a new item, or if you have existing items already, click on the Actions menu and then the 'Edit' option from the dropdown menu as seen below:

On the item edit page, as seen below, it's easy to assign an existing consignor to any inventory item. Make sure to Save after any changes are made.

Option #3 - Bulk Upload from an MS Excel file

To bulk upload your inventory file with Consignors:

1.) Create your auction (Add new auction)
2.) Go to the auction dashboard: items page
3.) Click on the teal colored Lot Actions button and then the 'create inventory' option. Tell the system how many blank lots you are creating for this auction (you can always add more, or delete unused items).

4.) Once the items are created, click on the Lot Actions button again and click on the 'Download Inventory in Excel Sheet' from the drop down menu. Start the download by clicking on the 'Export' button in the pop-up window.

In the Excel sheet, as seen below, the Consignor User# will go into Column L.

Reminder: The Consignor MUST be created in the system prior to upload.

Save & upload the Excel sheet through the teal colored Lot Action button 'Import Excel Sheet' option.
