How to use Maxanet's Pull Report for organizing auction pickup by item location

Maxanet's Pull Report lists each winning bidder's items with physical locations so you can efficiently pull inventory at pickup time.

Overview

Maxanet's Pull Report is an optional end-of-auction feature that lists each winning bidder's items along with the physical Location of each item in your warehouse, barn, lot, or storage space. At pickup time, you (or your staff) use the Pull Report to efficiently walk the storage area and gather everything on each bidder's invoice. The Pull Report is a per-invoice PDF download, and the Location field can optionally be shown to bidders on the public auction page and on their invoices as well.

How to add a Location to individual inventory items

When adding or editing an inventory item in the Maxanet Items tab, there is a field labeled Location (Pull Report). Fill it in with whatever location label you use — a row number, bay, shelf, warehouse section, or any text that helps your pickup crew find the item. For bulk item creation via Excel, the Location field is in column Q of the downloaded Excel template (see the Bulk Upload Inventory article).

How to download the Pull Report PDF after the auction ends

From the auction dashboard, go to the Invoices tab. The 3-dot Actions menu on each invoice row has a Download Invoice Pull Report PDF option. Clicking it downloads a PDF listing every item on that bidder's invoice, with the item numbers and their Location values shown alongside. Use this PDF to pull the bidder's items from your storage area.

Important: the Display Location toggle controls public visibility

In Admin → Configurations → Public Page Configuration there is a toggle switch called Display Location. When this is ON, the Location value for each item is appended to the item description on the public bidding page, and is added to the bidder invoice. When it is OFF, the Location is kept admin-only — it is not shown on public auction pages, not on bidder invoices, and only appears on the Pull Report PDF that admins download. Most clients keep Display Location OFF because the storage location is internal information, not something bidders need to see.

Common questions

Where does the Location value appear if Display Location is OFF?

Only on the admin-downloaded Pull Report PDF. Bidders cannot see it anywhere on the public site or on their own invoices.

How do I set Location in bulk for an Excel import?

Column Q of the auction's downloaded Excel template is the Location column. Fill it in during bulk upload and it carries through to the Pull Report.

Can different items have different Locations?

Yes. Each item has its own Location field — you can set every item to a unique value, or group items under shared labels like 'Bay A' and 'Bay B'.

Is there a bulk Pull Report that covers all bidders at once?

Currently the Pull Report is per-invoice — you download one PDF per bidder from the Invoices tab. For a master list across all bidders, use the Excel export of items plus invoices.
