Occasionally you may have recharge scenarios which are one-off, occur infrequently, or are difficult to codify into a rule set. To cater to these situations, you can now create "Ad-hoc" Recharges from within the Calculation flow. These follow the same logic as regular rules, meaning all the configuration and apportionments are available to you, but they apply only to a specific transaction (or set of transactions), and only apply to that specific calculation.
Creating an Ad-hoc Recharge
Begin by creating your recharge calculation, from the Calculations screen:
If you click into the relevant period (i.e. "October" in screenshot above), you will find the Transactions review screen:
Underneath each relevant entity there is a "Don't recharge" section. These are all of the transactions from Xero for that selected period which do not meet any of your recharge rule criteria.
As a result, they won't be recharged unless you create an ad-hoc recharge. To do this, simply click the drop-down menu underneath "Rule applied" and you will see an option to "Create Ad-hoc recharge" from the drop-down menu:
This will open a modal window for you to configure the rule:
This will be pre-configured with the rule type (i.e. an expense rule for an expense transaction, revenue rule for an income transaction and so on) - for expense transactions, you can choose "Cost Plus" from this menu to add a markup.
Then you simply need to define how the transaction should be apportioned between the entities in your group, using either a custom apportionment or one of your pre-defined apportionments.
The name has also been pre-filled for convenience - you can update this if you wish. When you save the rule, it will be applied to the calculation and the page will update.
Batch Ad-hoc Rules
You can do the same process for a batch of transactions. Simply select the transactions you wish to recharge using the tick boxes on the left-hand side, and then you can choose "Create Ad-hoc recharge" from the menu at the top of the page. Process from there is the same as is outlined above.
Once you have finished creating your ad-hoc recharges, and reviewed your other recharge transactions you can continue through the recharge process to eventually post to Xero.
