Restrict the visibility of certain tags and/or fields to certain users.

Restricting fields

Restricting a field in Mediatool makes it invisible to selected users. They won't see these fields in the sheet view or in any calendars or charts.

This feature is particularly beneficial when working with external agencies, as it allows you to hide sensitive information, such as pricing and other financial details from your media planning.

While it's possible to set permissions for each user individually, it may involve changing settings for each user at every subsidiary, making it a more complicated and time-consuming process. How to restrict fields for specific users

To restrict fields, follow these step-by-step instructions:

⚠️ Start Date, End Date, and Media Vehicle and tags cannot be restricted.

  1. Enable Plugin: If you haven't already done so, head to the Plugins in section in your organizational settings and make sure that the plugin is turned on.

  2. Navigate to Settings: stay on your organization's settings page, or to the subsidiary/subsidiaries where you would like to restrict the user.

  3. Access Users and roles: Click on the section titled "Users and roles"

  4. Find Users: You'll see a list of all users associated with your Mediatool account.

  5. Click on the option "Restricted fields" in the menu above the user info.

  6. Select Fields: You will see a complete list of all fields available in your account.

    1. click on the plus sign (+) on the fields you would like to restrict access to.

  7. Once restricted, this user will no longer be able to see any of the fields you've designated as restricted.

Manage Tag Permissions

Restricting a tag category in Mediatool makes it invisible to certain users. They won't see any media plan line items, calendars, or charts that include the tag.

Steps to Protect a Tag Category and manage access:

  1. Contact Your Customer Success Manager: Reach out to your Customer Success Manager and specify which tag categories you wish to restrict. They will update the settings for those categories on your behalf.

  2. Navigate to Settings: Go to your organization's settings page.

  3. Access Users and Roles: Click on the "Users and Roles" section.

  4. Find Users: You'll see a list of all users associated with your Mediatool account. Select the user whose access you want to modify.

  5. Manage Tag Permissions: Click on "Tag Permissions" in the menu above the user's information.

  6. Set Permission Levels: Choose the appropriate permission level for each protected tag category and individual tag (Admin, Editor, or Viewer). You also have the option to set permissions to "Full Access". Any tags not selected will remain hidden from the user.
