Exporting and Syncing Clinical Calendars

You can generate a physical copy of a team schedule by exporting the calendar on a PDF or Excel file.

Printing a Team Schedule

To generate a hard copy for a clinic or hospital unit, use the Export feature:

  1. Navigate to the "Team Calendar."

  2. Click 'Export' to access the PDF Export settings.

  3. Select your desired date range.

Note: Calendar Synchronization

The 'Subscribe' button serves a different purpose than exporting.

  • Use 'Subscribe' on "My Calendar" to sync your Mesh AI shifts directly to your personal digital calendar (e.g., Google, Outlook, or Apple).

Customizing Your Schedule Export

When generating a PDF for your clinic or department, the Export Functions menu provides granular control over the output to ensure it meets your specific clinical needs.

Output Configuration Options

Beyond selecting the date range, you can toggle several parameters to customize the visual density and detail of the exported file:

  • Compact view: Condenses the layout to maximize information per page, ideal for reviewing long date ranges at a glance.

  • Color view: Maintains the established color-coding for different teams or shift types, ensuring visual consistency with the web platform.

  • Include notes: Displays specific shift annotations or clinical handover notes directly on the document.

  • Include custom columns from shifts: A new feature allowing you to export specialized data fields—such as billing codes, specific location details, or clinical sub-types—directly from your shifts.

Export Formats

Once your parameters are finalized, select your preferred output format:

  • Export to Excel: Generates a spreadsheet for data analysis, payroll integration, or custom reporting.

  • PDF Export: Creates a professional, formatted document suitable for printing or digital distribution.


New Export Enhancements

The calendar export functionality has been expanded to provide clinical administrators with greater visibility into departmental staffing needs.

1. PDF Export with Unassigned Shifts

You can now include unassigned shifts in your PDF exports. This allows physician-administrators to:

  • Identify Coverage Gaps: Quickly visualize clinical shifts that have not yet been staffed.

  • Improve Planning: Enhance the effectiveness of contingency planning by spotting staffing deficits before they impact unit operations.

2. Integration of Shift Metadata

The PDF export engine now supports the inclusion of shift metadata. This enhancement allows clinicians to view essential contextual details—such as call types, clinical locations, or specific annotations—directly within the exported calendar layout.

By toggling options such as "Include notes" or "Include custom columns from shifts," administrators can ensure all pertinent clinical information is available for offline reference.

Continuous Range View Export

The Range View export is the primary solution for administrators and clinical leads who require a continuous, uninterrupted view of the calendar.

Key Advantages for Clinical Planning:

  • Customizable Timeframes: You can export any specific period you choose, rather than being restricted to a standard monthly grid.

  • Seamless Clinical Timeline: By removing month breaks, the system provides a continuous visualization of the schedule.

  • Efficient Navigation: This feature eliminates the need to load and export the schedule month-by-month, allowing for faster review of long-term staffing plans.

  • Long-Term Rotation Visibility: This format is particularly effective for tracking PGME rotations or multi-month call blocks where continuity across date boundaries is essential.
