Student Request Workflow

Managing hall passes starts with the student's request and ends with your approval. Following this logical flow ensures every student movement is documented and authorized.

Before you can approve a pass, the student must initiate the request from their device. This keeps the data entry on the student side, saving you time.

Step-by-step guide for Students Requesting a Hall Pass

  1. Direct the student to open their Minga app and click on My Tools.

  2. The student selects Create hall pass.

  3. Then the student selects the appropriate Hall Pass type from the available list.

  4. The student must search for your name and select it to assign you as the approving teacher.

  5. Once they click Create, the student will see a message stating their Hall pass request is pending.

Pro Tip: Students can also create a hall pass by clicking on the Hall Pass option in their main menu navigation.


Approving Requests

When a student assigns a pass to you, a real-time notification appears on your device. This is the fastest way to handle requests without leaving your current screen.

Step-by-Step guide for Approving Student Hall Pass Requests

  1. Look for the notification pop-up that appears on your My Class dashboard or device that you access Minga from when a student submits a request.

  2. Review the student's name and the pass type within the notification.

  3. Click the Approve button to immediately approve and assign the student's pass.

  4. To deny the pass, select Deny and the pass will not be assigned.

Pro Tip: You can also approve Hall Pass requests from your notifications in Minga, but keep an eye on when the request was made, as it may no longer be valid.


Using My Class or the Hall Pass Dashboard

You can manage all your active and pending passes from a central hub. Teachers will primarily use their MyClass dashboard to manage Hall Pass Requests but some members of staff, such as security or office staff, may find the Hall Pass Dashboard more useful. This is handy if you miss a notification or need to see which students are currently out of the room.

  1. From your MyClass Dashboard a pop-up notification will appear asking to approve or deny the pass.

  2. If you miss the pop-up, or you have navigated away from Minga, the request will still be waiting at the top of the MyClass Dashboard highlighted in yellow.

  3. Click the check mark to approve the pass or the x to deny the pass.

  4. Once the pass is approved, it will automatically assign the hall pass to the student.

  1. Click the Hall Pass menu on your sidebar.

  2. Select Dashboard to view the school-wide pass activity.

  3. Click the My Passes tab to filter the view to only show passes associated with you.

  4. To find requests waiting for your permission, click the Status dropdown and select Pending.

  5. Take action on the pass:

    • Click Approve to grant the student permission to leave.

    • Click Deny if the student is not permitted to leave at this time.

Beyond simple approvals, you can use the dashboard to search for specific student history or manage errors.

  • Student Search: Use the search bar in the Hall Pass Dashboard to look up a specific student and see all hall passes they have used throughout the day.

How do I approve a hall pass if I missed the pop-up notification?
You can approve a hall pass by navigating to the Hall Pass menu, selecting Dashboard, and clicking Approve on any request listed under the Pending status, approving the pass from your notifications tab, or from your MyClass Dashboard.

Can I deny a hall pass if a student assigns it to me by mistake?
Yes, you can deny a hall pass request assigned to you in error by clicking the Deny button on the notification or within the My Class or Hall Pass Dashboards.

What should I do if a student has an expired pass that is still running?
You can manually stop a student's timer by locating their pass in the My Passes section of the Hall Pass Dashboard and clicking the End button, or in MyClass by clicking on the End button on the students card.


Troubleshooting

Issue: I am not receiving notifications for student passes.

Solution: Ensure you are logged into the correct Minga account and check that your browser or device permissions allow notifications from the Minga app.

Alternate Solution: Check with your school admin that the pass type has the setting Teacher must approve pass enabled.

Issue: A student cannot find my name in the "Assign To" list.

Solution: Verify that your staff profile is active in the Minga User List and that you have the Teacher role assigned to your account.

Alternate Solution: Have the student type your name instead of searching for it in the drop down. The Approved by field holds the most comonly used options and not every available teacher in the Minga.
