How to I best use reporting for FlexTime?

To access reports in FlexTime, you will need to have the role of Owner, Manager, or be added as a 'Flex Report Viewer' by the Minga Admin at your school.


FlexTime History Report

This report gives a bird's-eye view of where students are registered/ assigned and their check-in status for all FlexTime activities.

Step-by-step guide to generating the FlexTime History Report

  1. Navigate to the Reports tab within the FlexTime tool.

  2. Click the Select Report dropdown and choose FlexTime History Report.

  3. Use the Date Selector to define your reporting period.

  4. Select specific Filters to narrow results by:

    • Student Name, ID number, or email

    • Check-in Status (e.g., Present, Tardy, or Absent)

    • Activity Name

    • Period

    • User Lists (Specific grades or groups)​

  5. Click the Apply Filters button to generate the list.

  6. Click Export List if you need to download the data as a CSV file for external analysis.


FlexTime Unregistered Report

You can ensure student accountability by identifying who has not yet registered for a required Flex period.

Step-by-step guide to generating the FlexTime Unregistered Report

  1. Select FlexTime Unregistered Report from the Reports dropdown.​

  2. Choose the specific Date and Flex Period you wish to audit.

  3. Click Apply Filters to see the list of missing registrations.

  4. Take action directly from the report:

    • Click the Check box next to a student's name.

    • Select Assign to place them in a specific activity.

    • Select Register to Homeroom to automatically pair them with their homeroom teacher's session.

Important: Registering to Homeroom only works if you have previously defined User Lists that link students to their specific homeroom teachers.


Activity Report

See how each activity is performing and gain valuable insight into top-performing and underutilized activities.

Step-by-step guide to generating the Activity Report

  1. Navigate to the Reports tab in FlexTime.

  2. On the reports drop-down, select Activity Report.

  3. Select the desired date range and filters, and click Apply filters.

  4. The report will show the following for each activity:The number of 'students' registered

  • The number of 'students' assigned

  • How many 'check-ins' did the activity have

  • The 'Attendance Percentage' of the activity

  • The 'Total Time' of the activity's duration

Pro Tip: To see a more in-depth look at the activity, click on the clock icon to populate the FlexTime History Report for the specific activity.


Student Report

Use this in‑depth student engagement report to gain insight into each student's FlexTime journey from registrations to attendance %.

Step-by-step guide to generating the Student Report

  1. Navigate to the Reports tab in FlexTime.

  2. Select Student Report from the Reports drop-down menu.

  3. Choose a desired date range and filters, and click Apply filters.

  4. The report will then show actionable data such as their Attendance Percentage for their registered or assigned Flex Activities, how many check-ins they have, and the total time spent in the reporting period.

Pro Tip: This is a great tool for identifying groups or individuals who need extra support or intervention.


Staff Report

See how many activities a teacher has led and the total instruction time spent in FlexTime at a glance.

Step-by-step guide to generating the Staff Report

  1. Navigate to the Reports tab in FlexTime.

  2. Select Staff Report from the Reports drop-down menu.

  3. Choose a desired date range and filters, and click Apply filters.

  4. Similar to the Student Report, this report will then show actionable data such as their Attendance Percentage for their registered or assigned Flex Activities, how many check-ins they have, and the total time spent in the reporting period.

Pro Tip: Click on the clock icon next to the Total Time to get a detailed FlexTime History report for the selected teacher.


Viewing FlexTime Tardy Data

Tardy data for FlexTime activities can be viewed in either the FlexTime History Report or on the Student Report.

  1. Navigate to Reports in the FlexTime module.

  2. Select FlexTime History Report.

  3. Filter by Status and select Tardy.

Or, you can select the Student Report and view the number of Tardy Check-ins.


Schedule FlexTime Reports

You can automate your reporting by setting up scheduled reports to be automatically sent to you via email or SFTP daily or weekly. This feature is available for the following FlexTime Reports:

  • FlexTime History Report

  • Activity Report

  • Student Report

  • Staff Report

You can also customize which filters and data you would like exported.

To identify students needing intervention, follow the steps to generate a Student Report. Look for students with a low Attendance Percentage or low Check-in counts, as this data highlights individuals who may be skipping sessions or struggling to engage with the Flex schedule.

How do I see more details about a specific teacher's activity?

You can see detailed teacher activity by navigating to the Staff Report and clicking the Clock Icon next to the Total Time value for that teacher. This will automatically open a filtered FlexTime History Report showing every session that specific staff member has hosted.
