This guide will walk you through setting up ticketed events, uploading mass attendee lists, and checking in guests at the door. By the end, you'll be able to track every ticket holder and streamline your entry process.

Create a Ticketed Event

Event Managers and Admins can promote events by providing clear instructions on where and how students can purchase their tickets.

Step-by-Step Guide to Creating a Ticketed Event

  1. Enable Ticketing: While creating or editing an event, toggle This is a ticketed event to On. This activates the ticketing management tools for that specific event.

  2. Configure Online Sales: If tickets are being purchased online, toggle Buy tickets online to On.

    • Paste the specific URL where the tickets are being sold so students can access it directly from the event banner.

  3. Configure In-Person Sales: If tickets are being sold on campus, toggle Buy tickets in person to On.

    • Enter specific instructions (e.g., "Sold at the Student Store during lunch") so students know exactly where to go.

  4. Set the Ticket Price: Enter the cost in the Ticket Price field. This price will be clearly displayed on the event banner to inform your audience


Manage Ticket Holders

Once your sales are underway, you need to populate your digital gate list to prepare for the event date.

Step-by-Step Guide to Adding Ticket Holders

  1. Access the Ticket Tab: Navigate to your event and select Tickets. This is where you manage the master list of everyone authorized to attend.

  2. Add Individual Holders: Click Add ticket holder to search for specific students by name. You can also use filters to add specific groups, such as "Seniors" or "ASB Members."                        

  3. Perform a Bulk Upload: To add a large list of ticket holders at once, select Upload advanced ticket list.

    • Prepare a CSV or Excel file.

    • Ensure your file includes a Student ID or Email field.

    • To include plus-ones, include columns labeled Guest for each additional person allowed per ID.

  4. Download Your List: You can export your data at any time by clicking the Ellipses (three dots) in the top right corner and selecting Download Ticket List. This will save an .xlsx copy to your device.


Check in Attendees

Note: This will only be available to schools that have the Check in solution included in their subscription

On the day of the event, you can quickly verify students as they arrive to prevent unauthorized entry.

Step-by-Step Guide to Checking In Attendees

  1. Launch Check-In: Open your event and start the check-in process. You can search for students by name or scan their digital ID cards.

  2. Verify Ticket Status: Once a student is selected, a screen will automatically appear confirming if they have a valid ticket and how many guests they are permitted to bring.

  3. Confirm Guests: Click the checkboxes next to the Guests (or select All) that are present with the student.

  4. Finalize Entry: Click the Check In button to record their attendance. This updates your list in real-time, showing who has arrived and who is still expected.

You can display the ticket price on the event banner by entering the amount in the Ticket Price field during event setup and ensuring the ticketing toggle is active.

Can I upload a list of ticket holders from another system?

You can upload an external list of ticket holders by formatting your data into a CSV or Excel file that contains Student IDs or Emails, then using the Upload advanced ticket list feature.

How do I handle guests or plus-ones during check-in?

You can manage guests during check-in by ensuring your uploaded list includes Guest fields; when you select a student at the door, the system will prompt you to select which guests are present before you click Check In.
