Configure Hall Pass Permissions for Your School

Learn how to enable teachers, staff, and students to create and manage hall passes.

Setting up your digital hall pass system is the first step toward a more organized and secure campus. This guide will help you configure who has the power to issue passes and set the ground rules for student-created requests. By the end of this article, you will be able to customize permissions and daily limits to fit your school's unique needs.

Enabling Hall Passes

Before you can start assigning passes, you must activate the feature and define how passes behave across your campus.

Step-by-Step Guide to Enabling Hall Passes

  1. Select Hall Pass from the main navigation menu.

  2. Select the Settings tab.

  3. Under the setting Enable Hall Passes, ensure the toggle is set to ON.

  4. Optional: Add users to the Hall Pass Manager or Hall Pass Report Viewers lists:

    Hall Pass Manager- Users added to this list will be allowed to assign hall passes, access reporting and the dashboard, edit hall pass types, and change restrictions.
    Hall Pass Report Viewers- Users added to this list will be allowed to access reporting and the dashboard.

  5. Under the Hall Pass Settings section, you can configure the following:

    Default hall pass ending method- Select Automatic to have hall passes end automatically after the set hall pass time, or select Manual to require a Teacher or Student to end the pass manually.
    Overdue hall pass timeout (mins)- This is the time, in minutes, that a hall pass will remain active in an Overdue status until it automatically expires if not ended manually.
    Show recently ended hall passes- Toggle this setting ON to display recently ended hall passes alongside active passes on the Hall Pass Dashboard.
    Display duration (mins)- If the above setting is toggled ON, enter a time in minutes that recently ended hall passes will be displayed on the Hall Pass Dashboard.
    Allow notes on hall passes- Toggle this setting ON to allow the hall pass assigner to enter a note on the hall pass. This is a handy tool to give staff more context for student movement.
    Enable hall pass kiosk- Toggle this setting ON to allow hall pass types to be created for Kiosk Mode.
    *Note: You will select which passes are kiosk-specific when creating Hall Pass Types.

  6. Under the heading Hall Pass Limit, configure the following settings:

    Maximum hall passes per student per day- This number determines how many hall passes each student can be assigned per day.
    Maximum number of active hall passes- This number determines the total number of active hall passes at one time.

  7. Under Hall Pass Request Timeout Duration, configure the following settings:

    Student created hall pass (mins)- The time in minutes that a Student's request for a hall pass will remain active before expiring.
    Staff created hall pass (mins)- The time in minutes that a Teacher or Staff member's request for a hall pass will remain active before expiring.

Best Practice: When creating your Hall Pass limits, like Maximum hall passes per student per day, start with higher numbers initially to gather data on student behavior before tightening restrictions.


Configure Staff and Teacher Permissions

Empower your Teachers and Staff by enabling Hall Pass permissions, such as allowing them to assign Hall Passes and view reports on their students.

Step-by-Step Guide to Configuring Staff Permissions

  1. Navigate to the Settings tab in the Hall Pass area of Minga.

  2. Under Teacher/ Staff Settings, toggle the following settings ON or OFF:

    Allow teachers to assign hall passes- Permits users with the role of Teacher to assign Hall Passes.
    • Allow staff to assign hall passes- Permits users with the role of Staff to assign Hall Passes.
    • Allow teachers to view reports- Grants users with the role of Teacher to view Hall Pass Reports.
    • Allow teachers/staff to view reports for their hall passes- Allows users with the role of Teacher and Staff to view Hall Pass Reports for only hall passes they have assigned or approved.
    • Allow teachers/staff to bypass blackout schedules- Permits users with the role of Teacher or Staff to assign Hall Passes during a blackout period (a warning message will pop up when they assign the pass to alert them to the blackout period)

    Default Permissions for Teachers: By default, the Teacher role in Minga does not include permission to access the Hall Pass Reports tab. This permission must be manually enabled by an Owner at your school.

    Without this permission, teachers will not be able to view student hall pass history or related reports.

    Steps to Enable Access:
    1. Contact Your School’s Minga Administrator: Reach out to the designated Minga Administrator at your school.
    2. Request Reporting Access: As the person with the role of Owner to add you as a Hall Pass Report Viewer, or toggle ON the setting Allow teachers/staff to view reports for their hall passes


Configure Student Settings

If you want students to be able to request or create their own passes, you can enable this feature while still providing guard rails and limits to student hallway movement.

Step-by-Step Guide to Configuring Student Settings

  1. Select Hall Pass from the main navigation menu.

  2. Click on the Settings tab located at the top of the screen.

  3. Locate the Student Settings section.

  4. Toggle the Allow students to create hall passes switch to On.
    *Note: This setting must be active before you can see the additional timing options.

  5. Toggle ON Must assign a teacher to a hall pass to have the student select a teacher to associate with the hall pass. The teacher does not need to approve the pass.

  6. Adjust the following settings by entering your preferred numbers:

    • Maximum student created hall passes per day- This number will be the total number of hall passes a student can create themselves per day. Hall passes that are assigned by a teacher are not affected by this setting.

    • Maximum number of active student created hall passes- This number is the total amount of hall passes that have been created by students that can be active at one time.

    • Default student created hall pass duration (mins)- The number entered here will be the length of time, in minutes, a student created pass will be active for.

    • Wait time between student created hall passes- This is the number, in minutes, a student has to wait before they can create another pass.
      *Note: This number is defaulted to 0 and Minga's best practice is to set this as the same length of time as a class.

  7. Settings are saved automatically once you click out of the field or change a value.

FAQs How do I give teachers the ability to create hall passes? You can give teachers the ability to create hall passes by navigating to Hall Pass Settings and toggling on the Teachers Can Assign Hall Passes option. Can I limit how many passes a particular student uses in a single day? No, Hall Pass limits are configured for campus-wide use. However, there are some handy tools in Hall Pass> Restrictions, such as a No Pass List or No Party Groups, which will apply restrictions to Students on those lists. What happens if a student forgets to end their hall pass? If a student forgets to end their pass, the system will use the Default hall pass ending method you selected in settings, which can be configured to expire automatically after a set duration. How can teachers access the Hall Pass Reports tab in Minga? Teachers can access the Hall Pass Reports tab by requesting their school’s Minga Administrator to enable the required permission. Without this permission, the tab will not be visible to teachers.


Troubleshooting

Students can't see the option to create a pass:

Double-check that the Allow Students to create hall passes toggle is switched to ON and that you haven't reached the school-wide active pass limit.

Teachers do not see Hall Pass in their main menu or in their My Tools:

Check that the setting Allow teachers to assign hall passes is toggled ON.
