Monitor Daily Activity via the Dashboard

The Check in Dashboard serves as your central hub for real-time data, allowing you to quickly see who is on campus and who is currently missing.

Step-by-step Guide to Monitoring Daily Check Ins

  1. Navigate to Check In by selecting the module from your sidebar.

  2. You will automatically land on the Check in Dashboard.

  3. View the Daily Check Ins/Check Outs section to see a live count of student movements.

  4. Review the Absentee counts to identify which students have not performed a required check-in for the day.
    • Click on the absentee count to automatically see a Check In Reasons Report filtered to show who is missing for the selected reason.


Generate and Export Check-In Reports

Detailed reporting allows you to identify specific trends, such as students who are frequently off-campus during lunch or those who consistently miss morning check-ins.

Step-by-step Guide to Generating and Exporting Reports

  1. Navigate to the Check In module and click on the Reports tab.

  2. Select the Check In History or Absentees report from the dropdown menu to define your data set.

  3. Filter your data by clicking the Filter icon and choosing criteria such as Date, User Name, Reason, Role, or Grade.

  4. Export the list by clicking the Export Data button if you need to upload this data to your Student Information System (SIS).


Edit or Archive Check-In Records

You can increase the accuracy of student reporting by correcting mistakes or removing inaccurately assigned check-ins.

Step-by-step Guide to Editing or Archiving Records

  1. Navigate to the Reports tab within the Check In module.

  2. Select the Check In History report from the primary dropdown menu.

  3. Locate the specific record you wish to change and scroll to the far right of the table.

  4. Choose the appropriate action:

    • a. To remove a record: Click Archive to hide the record from active reports.

    • b. To update a record: Click the Edit Pencil icon to adjust the Check In Reason, Date, or Time.

  5. Click Save to apply your changes.

Important: Changing or deleting a Check in record does not automatically remove Behaviors or Consequences triggered by that event. You must manually adjust those in the Behavior or Consequence History records.

How do I view a list of students who are currently absent?

You can view a list of students who are currently absent by navigating to the Check In Manager, selecting the Reports tab, and choosing Absentees from the report dropdown menu.

Can I export my check-in data to use in another program?

You can export your check-in data to use in another program by filtering your desired information in the Reports tab and clicking the Export to CSV button.

What happens if I edit a check-in time for a student?

When you edit a check-in time for a student, the record in the Check In History updates immediately, but you must manually update any related behavior points or consequences in their respective modules.

Can I delete a check that I assigned in error?

If you have the role of Owner, Manager, or Check In Manager, you can archive (delete) a Check in by going into the Check in History Report, selecting the entry and clicking Archive. Teachers and Staff cannot delete/archive Check ins by default.


Troubleshooting

Problem: Missing Data in Reports.

Solution: If you do not see expected data, ensure your Date filters are set correctly for the period you are auditing.

Problem: Export Button Unresponsive.

Solution: Ensure your browser allows pop-ups, as the CSV file download may be blocked by some security settings.

Problem: Permission Issues.

Solution: If you cannot see the Check In Reports, verify with your primary System Admin that your account is set to the Owner, Manager, Check in Manager, or Check in Report Viewer role.
