You can create specific reasons for student check-ins, such as "Library Study" or "Late Arrival," and enable a self-service toggle so students can scan a code to register their presence.

Step-by-step Guide to Creating a New Self Check-in Reason

  1. Navigate to Check In from the main navigation menu.

  2. Select the Reasons tab located at the top of the screen.

  3. Click the Create Reason button to open the configuration window.

  4. Fill in the Name and desired settings for your new reason.

  5. Find the Allow Self Check In toggle and switch it to the On position.

  6. Click Create and ensure the reason is set to Active.

  7. Select Edit next to the reason you just created, then click View QR Code to see the unique scan code.

  8. Click the Print button to generate a physical copy for your classroom or office.


Enable Self Check-in for Existing Reasons

If you already have check-in reasons configured, you can easily update them to include a self-service QR code option.

  1. Go to the Check In section and click the Reasons tab.

  2. Locate the reason you wish to update and click the Edit button (blue pencil icon).

  3. Scroll to the Allow Self Check In option and toggle it to On.

  4. Click the View QR Code button that appears after the toggle is enabled.

  5. Click Print to get your code and then click Save to apply the changes to the reason.

Set up Self Check-in for Events

Events often require a high volume of check-ins in a short window of time. You can generate an event-specific QR code to allow students to check in quickly as they arrive.

Step-by-step Guide to Event Self Check-in

  1. Navigate to the Events module and click Create Event.

  2. In the Event Settings section, locate the Enable self Check-in toggle and switch it to On.

  3. Optional: If you want to prevent duplicate entries, toggle on Restrict to a single check-in per user.

  4. Click Publish to make the event live.

  5. Find your event in the list, click the Ellipses (three dots) icon, and select Edit.

  6. Click the View QR Code button to display the event's unique code.

  7. Click Print to create a physical sign for the event entrance.

Can I limit how many times a student checks into an event?

You can limit student check-ins by toggling on the Restrict to a single check-in per user option within the Event Settings menu.

What do I do if the QR code isn't scanning correctly?

If a QR code isn't scanning, you should verify that the Allow Self Check In toggle is still active in the reason settings and ensure the printed code is clear and not wrinkled.

Can we use self check in QR codes as Teachers or Staff to check into events or meetings?

No, the self check in option is only available on student accounts at this time.

Can a student scan the QR code from the camera on their device without being logged into Minga?

No, if a QR code is scanned outside of Minga you will see an error message and the check in will not be logged.

How do students scan the code?

Students scan the code by using the Self check-in option in their My Tools dashboard.


Troubleshooting

Problem: I see a {"type":"CHECKIN_REASON","data:{"reasonid':234210}} error when I scan the code.

Solution: Try scanning the QR code from My Tools> Self check in and not your devices camera app.

Problem: I don't have a Self check in option in my profile on My Tools.

Solution: You may not have any check in reasons enabled for self check in or your role in Minga is not set to Student. Reach out to the administrator of your school to adjust your role settings.
