An Advanced Shipping Notification (ASN) is an inbound shipment or purchase order you have placed with your supplier.
Creating ASNs allows you and your warehouse to track expected deliveries coming in. ASNs cannot be created in bulk but items can be added to existing ASNs in bulk. The ASN needs to initially be created on Mintsoft or imported from an external source, then, you can use a CSV to upload items onto the ASN.
1. Creating an ASN
To create an ASN within Mintsoft, please do the following:
Click Warehouse, then Create ASN.
(3PL Only) Select the Client.
Select the Warehouse.
Enter the POReference or a general reference (such as supplier name).
Select the Supplier.
(Optional) Enter Supplier Notes.
(Optional) Turn on the Save Time toggle to set a delivery time with the date.
Set the Estimated Delivery date.
Warehouse admin users can update this when the delivery is booked in.
(Optional) Add any Comments.
Select the Delivery Type:
Available types: TwentyFtContainer, FortyFtContainer, Pallet, Carton, FortyFtContainerHC, FortyFiveFtContainer, FortyFiveFtContainerHC
Delivery types are fixed and can't be edited or created.
Set the Quantity (number of pallets, cartons, etc.).
Click Next.
2. Add Products to ASN Manually
You will now need to add the products for the ASN delivery, by doing the following:
In the Manage ASN screen, find the Add Item section.
Choose either Select Existing SKU or Enter New SKU.
Only enter new SKUs if they don't exist in Mintsoft but you're expecting them in this delivery.
Set the Quantity you're receiving.
(Optional) Enter the SSCC number.
Click Add.
Repeat for additional items.
Click Add to finish.
Tip: For new SKUs, upload via CSV instead - this lets you add more product details. Otherwise, a warehouse user must add these details when booking in stock.
3. Upload Products to ASN via CSV
If you have a large list of SKUs to upload onto the ASN please do the following:
In the Manage ASN screen, click the Upload Items tab.
Click Download Template to get the CSV template.
Fill in the CSV:
Existing SKUs: Only SKU and Quantity columns are required.
New SKUs: Complete as many columns as possible.
Click Choose File and select your CSV.
Click Upload.
Columns available on the ASN item CSV
The following columns are available to populate on the ASN item CSV:
SKU.
Quantity.
Name.
EAN Barcode.
UPC Barcode.
Weight in KG.
Height.
Length.
Depth.
Default Location.
Commodity Code.
Country of Manufacture.
Customs Description.
SSCC Number.
If you are adding existing products to the ASN, just the SKU and Quantity columns are required. If you are adding new products to the ASN, please populate as many columns as possible.
4. Confirm ASN
When you have finished populating all items in the ASN and are ready to submit:
In the Manage ASN screen, click Confirm ASN.
Click Generate ASN PDF.
Email the PDF to your supplier to attach to the physical goods.
The confirmed delivery appears in your Delivery Calendar. After the warehouse receives the ASN, proceed to Receive and allocate stock to locations.
5. Managing and Editing ASNs
Up until a delivery is received, either warehouse or admin users have the facility to change and amend the details of the ASN:
Go to Warehouse then click ASNS.
Find the ASN, click Actions then Manage ASN.
In the Manage ASN screen, scroll to the Items section.
Change the Quantity Expected then click Update.
Repeat for each item.
To remove an item, click Delete.
6. Adding Attachments to ASN
Attachments can be added to new and existing ASNs by following the steps below:
Go to Warehouse then click ASNS.
Find the ASN, click Actions then Manage ASN.
Click the Attachments tab.
Click Choose file and select your file.
(Optional) Enter a Comment.
Click Upload.
Note: If you uploaded the wrong file, simply click Delete and repeat Steps 4-6.
Managing Product Suppliers
To add a new Product Supplier to be used on POs and ASNs, please do the following:
Go to Products then click Extras.
Click Product Suppliers then New Supplier.
Enter the supplier details.
Set the supplier to Active.
Click Update.
Note: Created suppliers can only be marked as Active or Inactive - they can't be deleted from Mintsoft.
