Important Notes for User Imports:
FIND CSV TEMPLATE AT BOTTOM OF ARTICLE
Search for, then remove, all duplicate email addresses from the file
Make sure email addresses in the file are entirely lowercase
If you are receiving errors, be sure no errant spaces/characters are present in the email/org codes fields
If you are importing any ADMINS/Faculty - you'll give them the parent-org code (find this under users -> org code), which joins them to the entire organization rather than just a sub-org
To add new Users in MobileServe, one option is to use our importer to create the accounts for them.
To find the Create User import: go to your Dashboard > Users > Create Users. This feature must be turned on for your account, so if you don't see the Sub Menu option reach out to support@mobileserve.org for assistance.
How to perform the import:
You will start by building a file (must be in .csv format) with all the required information. The import file must have column headers that match exactly for email, first_name, last_name and org_codes (you can find a list of Org Codes for your organization on your Sub Orgs page. If you want to join a user to multiple Sub Orgs you can list multiple codes for a single user, separated by a comma. You also have the option of adding additional columns for is_org_admin (values must be TRUE or FALSE) and dob (in MM-DD-YYYY format).
Once you have created your file, you will click "Choose File" and select the file to import, then click "Dry Run".
The Dry Run will check to make sure your file meets all the criteria for import and it will run through every row to check for any errors (this may take a couple minutes). You will receive a summary of the results when it has completed.
If everything in the Dry Run summary looks good, click "Continue". This is the final step in the process, but it may take a few minutes to update the data. To check if the import has completed, you can go to your Users page and see if the users are listed there. This process can take several minutes depending on the number of users you are creating and the current load on our system.
IMPORTANT THINGS TO NOTE WHEN RUNNING AN IMPORT:
All email addresses in the file must be entirely lowercase, or the import will fail.
Ensure that there are no duplicate email addresses in the file before importing.
What happens to users once they are created?
Once you have created a user in the system you would automatically be able to see them in your Users page on the Dashboard. You will see a column for "Status". This column will let you know if a user has claimed their account and logged in or not. Your users will also automatically be joined to all Sub Orgs that you listed for them on the import file.
Users that are created via import will automatically receive an email asking them to claim their account. They will need to follow the link in this email to set a new password for their account and fill in their Date of Birth (if it was not already provided). If a user is under 13 years old, they will then be prompted to go through our COPPA Consent Process.
Once they have completed the process to claim their account you will see that their status is "Active" on your Users list on the Dashboard and they will be able to start logging hours on the platform.
If you have users on your import that already exist, but don't already belong to the organization(s) you listed, these users will automatically be joined to those organizations. There is no further action that needs to be taken by the user.
