How to Add Clerks in TouchOffice Web

Clerk Programming:

  • Select the Clerks menu option to view the Clerk Programming screen.

  • This screen shows a list of all the Clerks and the following information can be edited.

  • To add a new clerk simply find a clerk number that is not being used and click on the red clerk number button to view the Clerk Details Programming screen.

The clerk name - this appears on receipts, reports, sales screen

iButton Number

If a clerk has been assigned an iButton fob, this is the unique number that is encoded in that iButton.

iButtons are assiged to a clerk on the POS terminal via the Manager Functions menu option:

  • Sign on with a Clerk that has Manager level set

  • Select the option Clerk Functions

  • Select 2. Program iButton - tap OK

  • Highlight the Clerk from the list - tap OK

  • A pop up window β€œPlease Press iButton” will appear - tap the Clerk Fob onto the reader to associate that fob with the selected clerk.

Secret Number

This is the code (upto 4 digit) that a clerk uses to sign in to the EPoS software.

NI Number

A text field that can be used to record the clerks National Insurance Number

Clerk Details Programming:

Default Menu Level

Set the menu level that appears when the clerk signs in.

Default Price Level

If there is more than one price level, you can select the price level used for the clerk.

Default Floorplan Level

If there is more than one floorplan level, you can select the floorplan level that is first displayed for the clerk.

Commision:

  • Up to 4 % commission rates can be set for each clerk.

  • This can be used to calculate a commission value based on sales of certain products that are flagged for a commission rate.

Allowed Functions:

  • Tick the POS functions that this clerk is allowed to do.

  • Un tick the POS functions that this clerk is not allowed to do.

Allowed Modes:

  • To allow access to a mode tick the appropriate box.

  • To remove access to a mode un tick the appropriate box.

Reg Mode

This is the SALES MODE on the POS main menu. This allows clerks to make sales.

Refund Mode

This is the REFUND MODE on the POS main menu. This allows clerks to make refunds.

X Mode

This is the END OF DAY - X Reports. Taking these reports does NOT reset sales.

Z Mode

This is the END OF DAY - Z Reports. Taking these reports DOES reset sales.

Manager Functions

This is the MANAGER MODE on the POS main menu. Only clerks that have this ticked can access the MANAGER MODE screen.

  • These options relate to clock in functionality, if time & attendance is being used.

Clerk Pay:

  • These options relate to clock in / out functionality and are used to calculate pay based on time worked and hourly rate.
