Manually Linking a takepayments Transaction to a Sales Receipt or Sales Refund in VGM

The takepayments Transaction Detail page in VGM provides a comprehensive overview of each transaction and allows users to manually link transactions to Sales Receipts or Sales Refunds if necessary. Here's how you can do it:

Accessing the takepayments Transaction Detail Page

  1. Go to "Financial > takepayments Transactions" in the main navigation bar.

  2. Open the Transaction Detail Page:

    • Single-click the row of the transaction you want to view or reconcile.

    • Click the "View Transaction Detail" button at the top of the grid.

Manually Linking a takepayments Transaction

  1. Depending on the type of transaction (sale or refund), click the "Find Sales Receipt" or "Find Sales Refund" button.

  2. This will open the "Reconcile takepayments Transaction to Sales Receipt" or "Reconcile takepayments Transaction to Sales Refund" page.

    • The page will list Sales Receipts or Sales Refunds that meet the following criteria:

      • Not linked to another takepayments transaction

      • Same date as the takepayments transaction

      • Same amount as the takepayments transaction

      • Payment type flagged as ‘Card Terminal Compatible’

  3. Click on the appropriate Sales Receipt or Sales Refund in the grid. Click the "Reconcile Sales Receipt" or "Reconcile Sales Refund" button.

  4. If No Suitable Receipt or Refund Exists:

    • Click the "Add New Sales Receipt" or "Add New Sales Refund" button at the top of the page.

  5. This opens the "Add Sales Receipt for existing takepayments Transaction" or "Add Sales Refund for existing takepayments Transaction" page.

    • This page is pre-filled with the date, payment type, and amount from the takepayments transaction.

  6. Fill in the Customer, Payment Type, and Reference fields. Click the "Save" button to create the new Sales Receipt or Sales Refund.

  7. After saving, you will return to the Reconcile takepayments page with the newly created Sales Receipt or Sales Refund highlighted. Click the "Reconcile" button at the bottom of the grid.

  8. The takepayments Transaction Detail page will now show the transaction linked with the newly created Sales Receipt or Sales Refund. Click the "Close" button on the bottom right-hand corner to refresh the takepayments Transactions page.

  9. The takepayments Transactions page will now display the linked Sales Receipt or Sales Refund, ensuring balanced accounting.
