Create a sales document message template

You can set up a new Sales Document Message Template in the “Add / Edit Message Template” window.

To automatically send a customizable message after an invoice is posted, you first need to create a Sales Document Message Template. Follow these steps to set up the template:

  1. Click on Messaging in the top menu. Select Message Templates from the drop-down menu.

  2. Click on the New button in the toolbar at the top to open the "Add / Edit Message Template" window.

  3. Configure the Template:

    • Description: Enter a description for your message template.

    • Send Mode: Select your desired send mode from the dropdown (e.g., SMS, Email).

    • Message Type: Choose Sales Document from the Message Type dropdown.

    • Consent Type: Choose the desired Consent Type from the dropdown

  4. Click on the Content tab. Enter your message in the text box provided. Use the Insert Tag dropdown to add merge tags to personalize your message with customer information (e.g., customer’s name, vehicle registration).

  5. Click the Preview button in the bottom-right to see how your message will look.

  6. Switch to the Delivery tab. Set the Delivery Offset to determine how long after an invoice is posted that the message should be sent (e.g., 1 day). (1)

    1. Note: if the Delivery tab is grey out you may need to save the template first and re-open.

  7. Tick the Send Automatically checkbox if you want the message to be sent without manual processing. If unchecked, the message will need to be manually processed in the "Reminders" section once it is due. (2)

  8. Click on Save in the bottom-right corner to finish creating your new Sales Document Message template.
