Sales Quotations Management Guide
Sales quotations are managed through the Sales Quotations grid within VGM, similar to other document management grids in the system. The grid offers customization options and can be tailored to fit user preferences.
Grid Configuration
Customization and Saving:
Customize the grid layout by reorganizing columns through click-and-drag actions.
Use the settings cog menu located on the right side of the toolbar to:
Reset Grid Configuration: Restore the grid to its default settings.
Save Current Grid State: Set the current configuration as the default view for future sessions.
Configuration Options
Show/Hide Columns: Adjust the visibility of columns according to user preferences. Hover over a column header, select the ≡ icon, and choose the last option in the menu to show or hide columns.
Sorting Data
Sorting: To sort data, click on the column header of the desired field and select either ascending or descending order.
Managing Tabs on Quotations
To customize the tabs on a quotation, follow these steps:
Click on the three-dot menu and select Configure Tabs.
Transfer tabs from the Inactive column to the Active column to show them.
Move tabs from the Active column to the Inactive column to hide them.
Rearrange the order of tabs within the Active column by dragging them to your preferred position.
Configuring the Overview Tab
For customizing the overview of sales quotations:
Navigate to the Overview tab and click "Edit overview".
Move cards from the Inactive column to the Active column.
Transfer cards from the Active column to the Inactive column.
Adjust the placement of cards between the Right Column and Left Column to organize them according to your preferences.
Taskbar Actions
New: Create a new sales quotation.
Edit/Double Click Row: Open and edit the selected sales quotation.
Delete: Remove the selected quotation(s) from the grid.
Clone: Duplicate the selected quotation(s).
Conversion Options
Convert to Jobsheet: Opens a dialog allowing users to select which quote items will be converted to jobsheet items. Reminders associated with quote items can also be created during conversion.
Convert to Sales Invoice: Opens a dialog for selecting quote items to be converted to invoice items. Reminders associated with quote items can be created during this process.
Messaging
Email:
Send Message: Send a template or custom email to the customer.
Send Confirmation: Send an email with attachments automatically included. Manage attachments using the attachments tab in the message dialog.
SMS:
Send Message: Send a template or custom SMS to the customer.
Linked Documents
Open Jobsheet: Access the linked jobsheet, if available.
Open Sales Invoice: Access the linked sales invoice, if available.
Print Options
Print: Open the sales quotation in a new tab for printing.
Filters
Communication Status: Filter quotations by communication status (All, Emailed, Printed, No Communication).
Conversion Status: Filter by conversion status (All, Converted, Not Converted), indicating whether the quotation has been converted to jobsheets or sales invoices.
Row Count Selector
Row Count Selector: Adjust the number of visible rows in the grid.
